Job Description

Join Columbia Threadneedle Investments in our Boston office as a Senior Administrative Assistant and play a central role in enabling investment leaders and their teams to operate effectively. You will serve as a trusted partner, bringing sound judgment, discretion, and proactive coordination to complex calendars, communications, travel, events, and department initiatives. Your work will strengthen day-to-day execution while supporting high-visibility activities such as town halls, offsites, presentations, and special projects. Responsibilities

  • Proactively manage complex executive calendars, prioritize competing demands, and coordinate schedules with internal and external stakeholders.
  • Plan and deliver meetings, conferences, town halls, offsites, and team events, including logistics, materials, travel, and follow-up activities.
  • Monitor, review, and respond to communications on behalf of leaders when appropriate, while identifying matters that require attention or follow-up.
  • Coordinate domestic and international travel arrangements and prepare accurate, timely expense reports and invoices.
  • Create and edit presentations, correspondence, communications, and other materials with a high degree of accuracy and professionalism.
  • Support department operations, including recognition programs, timekeeping, budget coordination, supply management, and related administrative processes.
  • Provide project and program support by researching questions, coordinating contributors, tracking activities, and responding to ad hoc requests.
  • Anticipate leadership and team needs, exercise sound judgment, and handle sensitive or confidential information with discretion.
  • Mentor or onboard administrative colleagues, provide guidance when needed, and deliver back-up support across the administrative team.

Qualifications

  • 1 to 3 or more years of administrative support experience working in a corporate environment preferred.
  • High school diploma or General Educational Development (GED) credential required; an associate’s or bachelor’s degree, or equivalent experience, is preferred.
  • Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint, along with experience using expense, procurement, or travel platforms such as Concur or Ariba.
  • Demonstrated ability to manage multiple priorities, adapt quickly, maintain attention to detail, and remain organized in a fast-paced environment.
  • Sound judgment and a proactive approach, with the ability to anticipate needs, solve problems, and work effectively with minimal direction.
  • Excellent written and verbal communication skills, with the ability to collaborate professionally across all levels of the organization and with external stakeholders.
  • High level of discretion, integrity, and professionalism when managing confidential or sensitive information.

In-Office Collaboration

We are a client-centric, relationship-based business. Working together, in-person, is foundational to how we achieve results. By fostering a culture of face-to-face collaboration, idea sharing, productivity and personal connection, we deliver for our stakeholders — clients, advisors, employees and shareholders. Our employees work in the office at least four (4) days per week, with flexibility to work from home one (1) day per week. Some roles may require additional in-office time or different in-office expectations, and specific requirements will be discussed during the hiring process.

Base Pay Salary

The estimated hourly rate for this role is $30.10 - $41.35 / hour. We have a pay-for-performance compensation philosophy. Your initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. In addition, most of our roles are eligible for variable pay in the form of bonus, commissions, and/or long-term incentives depending on the role. We also have a competitive and comprehensive benefits program that supports all aspects of your health and well-being, including but not limited to vacation time, sick time, 401(k), and health, dental and life insurances.
