Summary:
The Senior Administrative Assistant supporting the Vice President/General Manager of Communication and Vice President, Human Resources for the Endoscopy division, will be responsible for providing high-level administrative support, ensuring efficient day-to-day operations through proactive calendar management, travel coordination, and meeting execution. This role requires strong organizational skills, discretion, and the ability to manage complex, confidential information while supporting key business priorities.
What You Will Do:
- Manage complex executive calendars for the VP/GM and VP HR, coordinating high-volume meetings, shifting priorities, and both virtual and onsite schedules with a proactive and detail-oriented approach.
- Coordinate domestic and international travel arrangements, including itineraries, visa and passport documentation, transportation logistics, and expense reconciliation.
- Support executive operations through meeting preparation, note taking, follow-up tracking, and organization of leadership materials and business reviews.
- Serve as a trusted partner to executive leadership by anticipating needs, communicating professionally, and exercising sound judgment.
- Handle sensitive and confidential information with a high level of discretion, professionalism, and accuracy.
- Process and manage expense reporting, maintain organized documentation, and ensure timely completion of administrative deliverables.
- Partner cross-functionally with leaders, teams, and administrative staff to coordinate events, streamline workflows, and drive operational efficiency.
- Utilize tools such as Outlook, Teams, Microsoft Office, Concur, BCD Travel, and related systems to support daily operations and maintain organizational effectiveness.

- 3+ year’s experience supporting Senior Leadership in a similar capacity
- Experience with Microsoft Office programs
