Overview:

We are seeking a highly organized and proactive Senior Administrative Assistant to provide comprehensive support to senior global leaders. This role requires strong coordination skills, attention to detail, and the ability to manage a variety of operational functions in a fast-paced environment.

Key Responsibilities:

  • Executive Support – Manage calendars, travel arrangements, and expense reports for 2–3 global leaders.
  • Organizational Operations – Assist with the execution of headcount reports, partnering with Business Operations to validate and update FML codes for a team of ~3,000 employees.
  • Procurement & Vendor Management – Consolidate purchase orders (POs), track Statements of Work (SOWs), liaise with vendors, and ensure timely invoice processing and approvals.
  • Compliance & Training Oversight – Monitor and report on mandatory compliance training for 3,000+ global agents (e.g., COBC, phishing awareness).
  • Employee Engagement & Recognition – Track service anniversaries and coordinate celebratory communications for employees.
  • Leadership Team Coordination – Schedule leadership team (LT) meetings, manage presenter rotations, and facilitate efficient communication across executive stakeholders.
  • Information & Communication Management – Oversee email distribution lists, SharePoint sites, escalation contact lists, vacation coverage lists, and other essential documentation.

Qualifications & Skills:

  • Experience in executive support, business operations, or project coordination in a global corporate environment.
  • Must have experience supporting global leaders in various time zones and managing calendars and meetings effectively
  • Strong proficiency in Microsoft Office (Excel, Outlook, SharePoint, Teams) and familiarity with business reporting tools.
  • Detail-oriented with exceptional organizational and time-management skills.
  • Ability to manage multiple priorities, work independently, and handle sensitive information professionally.
  • Strong interpersonal and communication skills, with the ability to engage and support senior leaders effectively.
