The primary role of Administrative Assistance function is to provide administrative support to the Business leaders and teams across businesses. Key deliverables include arranging for conferences, travel and workshops. Supporting key communication programs and coordinating staff functions and events. Managing key meetings, minutes and report preparation.
Let’s talk about the role:

  • Effectively plan, coordinate and execute onsite and offsite workshops, meetings and events; arrange for facilities, menu planning and catering; provide coherent and up to the minute details to attendees by issuing information or invitations; oversee accommodations and extraordinary requests, ensure smooth execution; be prepared to respond to unforeseen changes.
  • Assist the teams with their townhalls and other meeting forums, help capture agenda items, confirm content with presenters and consolidate presentations and record virtual sessions for distribution.
  • Resolve incoming requests with the appropriate level of attention and urgency; respond with a professional can-do attitude.
  • Help arrange virtual calls and meetings across worldwide time-zones and working across busy schedules.
  • Work with travel agencies for domestic and International travel to organize complex travel arrangements; prepare detailed itinerary and compile documents for travel-related meetings ensuring traveller is prepared for the trip.
  • Uphold a congenial, professional demeanour; greet visitors, interface with co-workers and customers appropriately; work as an effective team player with colleagues.
  • Handle diverse administrative duties and assist the Engineering teams in a wide range of tasks including: sending courier deliveries, team social events, cultural gatherings, flowers and gifts.
  • Set up, create, and maintain files and websites; manage workspaces for the teams.
  • Additional duties as needed.

  • Ability to be flexible, while working within several different teams and divisions of the business.
  • Excellent written and verbal communication skills.
  • Excellent organizational skills to manage multiple projects simultaneously.
  • Maintain an outstanding work ethic and an enthusiastic approach to getting the job done.
  • Excellent interpersonal skills; ability to work cross-culturally with peers and customers.
  • Possess confidence to directly communicate and resolve issues amicably with manager and co-workers.
  • High School Certificate required.
  • Proficient with Outlook, PowerPoint, Excel, Word


Preferred:

  • Desired experience with Atlassian Confluence and SharePoint.
