We are seeking a talented individual to join our team at Guy Carpenter. This role will be based in Toronto, ON. This is a hybrid role that has a requirement of working at least three days a week in the office.
The Senior Administrative Assistant provides travel and expense support for several colleagues in a fast-paced sales environment, utilizing independent judgment and proactive problem-solving. Additionally, this role includes maintaining calendars for senior colleagues, occasional client interactions, and assisting with office responsibilities while operating with limited oversight and escalating complex requests to management.
We will count on you to:
Arrange travel accommodations, prepare itineraries, and coordinate group travel events while compiling necessary travel documents and communicating plans with relevant individuals.
Facilitate meetings and teleconferences, providing timely updates and maintaining availability across U.S. time zones, including occasional overtime for unexpected traveler issues.
Prepare and submit expense reports in compliance with corporate T&E policies, securing missing receipts and adhering to payment timelines to avoid late charges.
Perform general administrative duties, including ordering office supplies, coordinating with vendors, and organizing office moves and visitor arrangements.
Edit and create documents in PowerPoint, Excel, and Word, ensuring adherence to MMC’s style guidelines while tracking expenses within the office or regional reporting mechanisms.
Collaborate with Broking Support Services leadership to identify and implement innovative improvements in processes, consistency, and efficiency across the region.
What you need to have:
High School Diploma with 5+ years of administrative experience, including Outlook calendar management, international travel arrangements, and expense management.
Proficient in Microsoft Office Suite, especially Excel and PowerPoint, with the ability to manage multiple priorities while keeping stakeholders informed.
Strong experience with event planning, including meeting catering and external events.
Resourceful, proactive, and highly organized, with strong communication skills, experience using Zoom and Microsoft Teams, and the ability to maintain confidentiality.
