About the role:

We're creating a brand-new role to manage the full client lifecycle — from a seamless welcome for new clients through to a smooth, professional exit when the time comes. This critical role involves ensuring every client transition is handled with care, professionalism, accuracy, and full compliance.

  • Manage the end-to-end client onboarding and offboarding process, ensuring a seamless experience for clients and internal stakeholders.

  • Coordinate communications between clients, partners, managers, internal teams, and external advisors.

  • Prepare and issue engagement and disengagement documentation in line with firm policies and procedures.

  • Complete client acceptance, AML/CTF, identity verification, conflict checks, ASIC checks, and other compliance requirements.

  • Identify, document, and escalate onboarding or offboarding risks where required.

  • Set up, maintain, transfer, and archive client records within practice management and document management systems.

  • Ensure client, billing, entity, compliance, and ASIC information is accurate and up to date.

  • Monitor outstanding documentation and follow up with clients to support timely completion of onboarding and offboarding activities.

  • Coordinate file transfers, record retention, privacy, and confidentiality requirements.

  • Liaise with finance teams regarding billing, outstanding invoices, and final account reconciliation.

  • Provide regular status updates and reporting to stakeholders and management.

  • Support the wider team with general administrative duties, including document management, database maintenance, and ad hoc Professional Support Group activities.

  • Provide reception and front-of-house support as required, including greeting clients and visitors, managing incoming calls and enquiries, coordinating meeting room bookings, handling mail and courier deliveries, and ensuring a professional and welcoming office environment.

About you:

EDUCATION REQUIREMENTS:

Essential

  • Completion of Year 12

Desirable

  • Certificate in Business Administration

DEMONSTRATED EXPERIENCE & ATTRIBUTES:

Essential

  • Highly organised and collaborative, with the ability to manage competing priorities and work autonomously in a fast-paced environment
  • Excellent communication and stakeholder management skills
  • High attention to detail, accuracy, and confidentiality
  • High level of ownership and accountability
  • Experience in a corporate secretarial, corporate governance or compliance role (professional services/legal background experience highly regarded)
  • Administrative or client service experience (public accounting/professional services preferred)
  • Strong aptitude for learning new systems, processes, and technical requirements.

High Desirable

  • Experience with Xero, MYOB, APS or XPM and CAS360
  • Understanding of ATO online services and public practice workflows
  • Understanding of the Corporations Act, ASIC and Trust requirements
