About this opportunity:
This role is responsible for supporting the end-to-end operational delivery of Talent & Development (T&D) programs across multiple countries and stakeholders.
The position ensures accurate program administration, participant tracking, system updates, data integrity, and coordination across vendors and internal teams. It plays a key role in maintaining operational excellence, governance compliance, and a seamless participant and stakeholder experience.
The role works closely with Talent & Development delivery teams, Finance, vendors, and global stakeholders to ensure efficient execution, accurate reporting, and continuous process improvement.
Key Responsibilities
Program Administration & Delivery Support• Coordinate end-to-end administrative activities for T&D programs and leadership initiatives.• Manage participant tracking, confirmations, attendance validation, and completion status.• Ensure timely system updates (e.g., training records, reporting tools, internal platforms).• Support scheduling and coordination with vendors, facilitators, and internal stakeholders.• Prepare and send program communications to participants and line managers.• Monitor deadlines and ensure milestones are met across program cohorts.
Data & Reporting Management• Maintain accurate employee training data across systems and tracking tools.• Ensure alignment between attendance records, system entries, and reporting outputs.• Generate regular operational reports to support program tracking and decision-making.• Support audit and compliance requirements related to program documentation.• Ensure data quality, completeness, and timeliness of reporting.
Stakeholder & Vendor Coordination• Act as a key operational contact point for program-related inquiries.• Coordinate with Finance, HR, and other internal stakeholders to ensure smooth execution.• Work closely with vendors to align on schedules, participant lists, and logistics.• Provide timely updates and visibility on program status and risks.• Support global stakeholders across multiple time zones and regions.
Process Governance & Improvement• Identify opportunities to simplify and improve administrative workflows.• Support automation and standardization initiatives within T&D operations.• Ensure compliance with internal governance, ethics, and documentation standards.• Maintain up-to-date process documentation and communicate changes to stakeholders.• Contribute to continuous improvement initiatives within the team.
Job Requirements
Professional & Technical Skills• Strong experience in administrative or operational support (preferably in HR or Learning & Development).• Proficient in Excel and data tracking tools.• Strong organizational and coordination skills.• Experience working with multiple stakeholders and deadlines.• Familiarity with HR systems (e.g., SuccessFactors, SAP) is an advantage.
