Senior Admin Support Specialist

About the role

The Senior Admin Support Specialist reports directly to the Country Manager UA. In this role, you will offer administrative support to the Country Commercial Team. Tasks include submitting requests for business trips and travel expense reports for the Country Sales Team, preparing other financial reports, and ensuring all payments related to these business trips are processed. Additionally, you will coordinate periodic gatherings, conferences, training sessions, and similar events.

Role Responsibilities

  • Submit requests for certain team members for business trips, travel expenses reports, other financial reports and ensure the execution of all payments related to the Commercial Team’s business trips.

  • Coordination of all necessary steps for the preparation of business trips, booking hotels, ordering tickets and taxis for the Commercial team.

  • Facilitating the organization of diverse events within the sales department and other organizational units is undertaken by agencies as required.

  • Performing the superuser function to ensure the proper functioning of the internal document workflow system EPOS, supporting system users.

  • Performing the role of a shopper to meet the needs of the sales department, as well as other departments in case of urgent requirements.

  • Ensuring the proper circulation of company orders, as well as their storage and archiving.

  • Facilitating the ordering and organizing the dispatch of gifts for customers to various regions.

  • Ensuring the issuance and dispatch of distribution products to regions for the company's employees.

  • Ensuring control over payments for services and goods for the sales department, as well as other departments in case of urgent needs.

Why you?

Basic Qualifications:

  • 1-2 years of work experience preferably in administration.

  • A bachelor’s/specialist’s degree

  • Computer literacy skills (Microsoft Word, Outlook, Power Point, Excel).

  • Fluent Ukrainian and English language skills.

Preferred Qualifications:

  • Attention to details, planning and organizing skills.

  • Verbal and written communication skills.

  • Excellent administrative skills.
