Administrative Support Specialist

Job Overview

We are looking for a highly organized and reliable Senior Admin Assistant  to provide high‑level administrative and operational support to management. This role plays a key part in ensuring structure, efficiency, and smooth day‑to‑day operations, while supporting managers primarily based in the United States, with senior managers based in the UK.

This is a fully home‑based position suitable for someone who enjoys working independently, bringing order to complex situations, and supporting multiple stakeholders in a professional, structured manner. The ideal candidate is detail‑oriented, proactive, comfortable working with data and systems, and able to maintain clarity and organization in a fast‑moving environment.

Key Responsibilities

Administrative Support

  • Provide comprehensive administrative support to management, including calendar coordination, meeting organization, and follow‑up actions
  • Prepare, format, maintain, and distribute documents, reports, presentations, and routine correspondence
  • Organize, record, sort, and maintain files and information in line with internal standards
  • Manage email and information flow, respond to inquiries, and route requests appropriately
  • Coordinate travel arrangements, meetings, and appointments as required
  • Operate standard office systems and tools to support daily administrative activities

Operational & Cross‑Functional Support

  • Support managers with administrative tasks across finance, planning, HR, IT, and other corporate services as needed
  • Assist with data tracking, reports, and preparation of materials for leadership discussions
  • Act as a coordination point between managers and internal teams, supporting clear communication and execution
  • Proactively track action items, deadlines, and deliverables to ensure follow‑through

Organization & Process Support

  • Bring structure to complex workflows by organizing information, priorities, and timelines
  • Support process consistency and identify opportunities to improve administrative efficiency
  • Work confidently with systems, data, and reports to ensure accuracy and transparency
  • Handle sensitive and confidential information with a high level of discretion and professionalism

Working Hours & Location

  • Full‑time, fully home‑based role
  • Standard working hours approximately 08:00 – 17:30 (local time)
  • Role supports US‑based managers, but does not require working US time zones

Qualifications

Required

  • High School Diploma or equivalent
  • Minimum of 3 years of experience in an administrative, secretarial, or similar support role
  • Strong organizational, prioritization, and time‑management skills
  • Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint)
  • Strong written and verbal communication skills in English
  • Ability to work independently in a remote setup

Preferred

  • Experience supporting senior managers or leadership teams
  • Experience working in an international or matrix environment
  • Comfort working with data, reports, and structured processes
