Senior Accounting & Investment Support Specialist
We are seeking a meticulous and versatile finance professional to provide comprehensive accounting support across multiple portfolios (personal, trusts, and legal entities) while assisting our Chief Investment Officer with private investment analysis.
About the Role:
This position combines hands-on accounting responsibilities with analytical support for investment decisions. You'll manage complex financial records across multiple entities while contributing to the evaluation of private investment opportunities. The ideal candidate thrives in a detail-oriented environment and can seamlessly navigate both technical accounting work and strategic financial analysis.
Key Responsibilities:
Accounting & Cash Flow Management 40%
Maintain accurate and timely financial books for multiple entities (personal and legal)
Identify and implement process improvements or automation opportunities in accounting and reporting.
Manage general ledger entries, reconciliations, and month-end close processes
Oversee accounts payable/receivable, expense tracking, and financial reporting
Ensure compliance with accounting standards and tax requirements across all entities
Process and schedule monthly, quarterly, and annual bill payments across all entities
Maintain payment calendars and ensure timely processing to avoid late fees, etc.
Manage bank accounts, signatories, documentation, and oversee wire transfers and account access
Create/maintain cash flow projection models
Trust & Estate Administration 20%
Administer financial aspects of family trusts and estate structures
Maintain detailed records of trust transactions, distributions, and beneficiary reporting
Coordinate with external counsel and advisors on trust-related matters
Prepare financial statements and documentation for trust administration
Tax Coordination & Documentation 10%
Gather and organize financial records for tax preparation
Upload and maintain annual tax return documents in secure filing systems
Coordinate with CPAs and tax advisors to ensure timely filing
Track tax payment deadlines and estimated tax requirements
Maintain organized archives of prior year returns and supporting documentation
Investment Support 30%
Assist the Chief Investment Officer in reviewing private investment opportunities
Conduct financial due diligence on potential investments, including financial statement analysis
Track and report on existing private investments, including capital calls and distributions
Maintain investment records and prepare performance reporting
Support preparation of investment committee materials
Populate subscription Documents
Ensure funding of investment commitments
Required Qualifications:
Bachelor's degree in Accounting, Finance, or related field
5+ years of experience in accounting, with exposure to both corporate and personal financial management
Strong knowledge of GAAP and bookkeeping best practices
Experience with trust accounting and administration
Exceptional attention to detail with a commitment to accuracy
High proficiency in accounting software (QuickBooks, or similar) and Microsoft Excel
Experience managing bill payment systems and vendor relationships
Ability to handle confidential information with discretion
Project management skills for handling special projects
Preferred Qualifications:
Meet qualifications to pursue CPA and/or CFA certifications
Experience supporting family offices or high-net-worth individuals
Familiarity with private equity, real estate, or alternative investment structures
Familiarity with consolidated reporting across multiple entities
Understanding of tax implications for trusts and investment entities
Experience with investment tracking and performance reporting systems
Knowledge of virtual data rooms for investment due diligence
Knowledge of document management systems and secure file storage protocols
