Senior Accountant – Accounts Payable & Media Vendor Reconciliation
Position Summary
The Senior Accountant is responsible for overseeing and reconciling Accounts Payable (AP) activity related to media vendor invoices that are billed through to clients. This role ensures accuracy, completeness, and timeliness of vendor reconciliations, client billings, and financial reporting. The ideal candidate has strong analytical skills, deep experience in reconciliation, and a solid understanding of media or passthrough billing workflows and pass-through invoicing.
Key Responsibilities
Accounts Payable & Vendor Reconciliation
Perform detailed reconciliation of media vendor invoices to internal purchase orders, insertion orders, and approved media plans.
Reconcile vendor statements to AP subledger and general ledger accounts.
Identify and resolve discrepancies between vendor invoices, accrued expenses, and client billings.
Collaborate with vendors, Accounts Payable and Client Partner teams to resolve discrepancies.
Proactively manage vendor relations by providing consistent, transparent updates regarding disbursement timelines and account status
Monitor unapplied payments, open credits, and aged vendor balances.
Ensure proper coding of invoices by client, campaign, and GL account.
Client Billing & Pass-Through Invoicing
Reconcile vendor costs to client billings to ensure accurate pass-through of media expenses.
Verify that all vendor invoices have been billed to clients accurately and completely.
Collaborate with Billing and Client Partner teams to resolve billing variances.
Track all unbilled media expenses regularly and ensure any adjustments are identified, documented, and communicated to the billing team in a timely manner to maintain accurate invoicing and financial records.
Month-End Close & Reporting
Prepare and review AP-related journal entries and account reconciliations.
Support month-end close by ensuring media costs are recorded in the correct accounting period.
Analyze and report on accruals, prepaid media, and outstanding liabilities.
Prepare reconciliation schedules and supporting documentation for management review.
Perform other month-end close duties as needed.
Compliance & Controls
Maintain strong internal controls over media vendor transactions.
Ensure adherence to company policies and U.S. GAAP requirements.
Support internal and external audit requests related to AP and media reconciliations.
Identify and implement operational improvements to drive efficiency and eliminate errors and delays.
Qualifications
Bachelor’s degree in Accounting, Finance, or related field.
4+ years of U.S. GAAP accounting experience, with strong focus on reconciliations and AP.
Experience in advertising, media, marketing, or agency environment preferred.
Advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP, data reconciliation tools).
Experience with ERP/accounting systems (e.g., Sage Intacct or similar).
Strong analytical and problem-solving skills.
High attention to detail and ability to manage large volumes of transactions.
Ability to work cross-functionally and communicate financial information clearly.
