Non-Exempt, 12-Month Position
The School Administrative Assistant serves as the first point of contact for students, families, staff, and visitors and is responsible for maintaining a welcoming, organized, and efficient front office. This position provides clerical, receptionist, and light bookkeeping support to ensure the smooth daily operation of the school.
Primary responsibilities include but are not limited to:
Reception & Front Office Management
- Greet visitors, parents, students, and staff in a professional and friendly manner
- Answer and direct incoming phone calls and emails
- Manage visitor sign-in procedures and maintain security protocols
- Receive and distribute mail, deliveries, and messages
- Maintain front office appearance and organization
- Assist with student arrival, dismissal, and attendance communication
Administrative Support
- Provide clerical support to the Principal and teaching staff
- Maintain student records, files, and confidential documents
- Prepare correspondence, forms, letters, and reports
- Manage calendars, appointments, and meeting schedules
- Assist with event coordination, room scheduling, and communications
- Maintain office supplies and place orders as needed
- Support copying, filing, and document preparation for staff
Student & Family Support
- Assist parents with forms, questions, and general information
- Track and document student attendance, tardiness, and early dismissals
- Communicate attendance information to appropriate staff
- Maintain accurate emergency contact and student information records
Minor Accounting & Bookkeeping Duties
- Collect, record, and receipt payments (tuition, fees, fundraisers, etc.)
- Maintain payment logs for student accounts
- Assist with basic data entry into accounting software or spreadsheets
- Track petty cash and maintain accurate records
- Compile payroll information for timely submission
- Support the Business Office with invoices and purchase documentation
Requirements
- High school diploma required; associate degree or administrative training preferred
- Previous experience in an office, school, or customer service setting preferred
- Basic knowledge of bookkeeping or accounting practices
- Proficiency in Microsoft Office/Google Workspace and office equipment
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and professionalism
- Friendly, patient, and service-oriented demeanor
- Strong attention to detail and accuracy
- Ability to prioritize tasks in a busy school environment
- Dependable, punctual, and self-motivated
- Comfortable working with children, families, and staff
- Ability to handle sensitive situations with discretion

Skills Required
