Elite Sports Medicine + Orthopedics is seeking a hands-on Scheduling Supervisor. In this role, you will partner closely with our Administrative Manager to lead, support, and empower our Scheduling Team.
This role oversees the scheduling operations for a premier practice of 16 physicians and 25 Advanced Practice Providers (APPs). We don’t expect you to know our exact provider preferences on day one—our team will train you on our specific orthopedic medical logic. A Day in the Life
No two days are exactly the same in a busy, thriving practice supporting 16 physicians and 20 APPs, but you can expect to:
- Drive Daily Success: Monitor daily scheduling operations and help the team navigate a high-volume call environment.
- Be the Go-To Coach: Support Scheduling Specialists through real-time questions, problem-solving, and ongoing development.
- Lead from the Front: Lead by example by assisting with patient scheduling whenever the team needs extra support or phone queues spike.
- Build Culture: Conduct 1-on-1 coaching sessions, provide performance feedback, and celebrate team wins to keep morale high.
- Dive into the Data: Review call recordings and queue analytics to find coaching opportunities and improve team performance.
- Keep Tools Sharp: Maintain and enhance our Scheduling Playbooks and training materials so the team always has what they need to succeed.
- Partner with Leadership: Work hand-in-hand with the Administrative Manager to resolve scheduling challenges and continuously improve workflows.
- Grow the Team: Assist with onboarding new team members while fostering a positive, accountable, and supportive team culture.
What You Will Own:
- Team Culture & Morale: Keep our Scheduling Team motivated, engaged, and supported in a high-volume call environment.
- Training & Tools: Maintain and build our Scheduling Playbooks so the team always has the exact tools they need to succeed.
- Performance Reviews: Conduct structured 1-on-1 check-ins, quarterly conversations, and annual reviews to hold the team accountable and support their career growth.
- Metric Collaboration: Audit recorded calls and review call queue analytics to identify coaching opportunities, celebrate team wins, and partner with the Administrative Manager on performance improvement.
What We Are Looking For:

The Team Member Coach: 2+ years of leadership experience supervising employees, coaching performance, conducting performance evaluations, and developing training materials. (Leadership experience in healthcare, call centers, hospitality, retail, or other customer-service environments is highly valued!)

Organized Mindset: Comfortable managing changing priorities and keeping team execution consistent.

Collaborative Partner: You are eager to work hand-in-hand with the Administrative Manager to ensure that the Scheduling Team has the tools, resources, and support needed to keep provider schedules running efficiently.
