Scheduling Optimization Specialist - M-F, 8a-5:30p
PRIMARY FUNCTION:
The Scheduling Optimization Specialist is responsible for the oversight, maintenance, and quality assurance of provider scheduling templates across the enterprise. This role supports the organization’s scheduling optimization strategy by ensuring templates are accurately built, consistently applied, and aligned with established standards and Epic system functionality.
Working under the direction of the Scheduling Optimization Manager, the Specialist is accountable for carrying out template-related activities including intake review, template build and updates, validation, communication, and ongoing maintenance. This role plays a critical part in supporting patient access, provider schedule integrity, and operational consistency across clinical, procedural, and hospital-based service lines.
The Specialist is expected to demonstrate strong attention to detail, a clear understanding of scheduling workflows, and the ability to execute work with accuracy and consistency in a fast-paced, highly coordinated environment.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
• Oversee the build, modification, and maintenance of provider scheduling templates within Epic in alignment with established standards and guidelines
• Assist with the build, modification, and maintenance of provider scheduling templates within Epic in alignment with established standards and guidelines
• Review and process template change requests, ensuring completeness, accuracy, and alignment with scheduling rules prior to execution
• Communicate changes to schedule templates and ensure accuracy from Epic to other knowledge management tools like Sharepoint and Excel-based scheduling guidelines
• Support the intake and coordination of template requests, ensuring work is properly documented, tracked, and completed within defined timelines
• Validate template builds and updates to ensure accuracy, functionality, and alignment with provider schedules, visit types, and operational requirements
• Perform routine audits of scheduling templates to identify discrepancies, errors, or opportunities for improvement
• Track and document template-related errors, issues, and corrections to support quality assurance efforts
• Maintain accurate documentation of template configurations, scheduling standards, and changes
• Collaborate with the Scheduling Optimization Manager to address complex issues and escalate when needed
• Partner with operational teams and stakeholders to clarify scheduling needs and ensure accurate execution
• Support Epic-related activities including testing, validation, and post-go-live optimization
• Ensure adherence to scheduling standards, workflows, and best practices
• Identify and communicate opportunities for improvement and efficiency
• Participate in training and ongoing development
• Perform other related duties as required
• Support growth efforts of the organization, ensuring that scheduling requirements and timelines for template build can be achieved relative to other onboarding events
Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:
Bachelor’s degree required
• 2–4 years of experience in healthcare scheduling, access operations, or related field
• EPIC experience strongly preferred
• Experience in healthcare operations or clinical workflows preferred
• Equivalent combination of education and experience may be considered

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:
• Experience with Epic Cadence and schedule template build workflows and processes
• Strong understanding of scheduling workflows and access operations
• High attention to detail and accuracy
• Ability to follow standardized processes
• Strong organizational and time management skills
• Ability to manage multiple priorities
• Effective communication and collaboration skills
• Ability to identify and escalate issues appropriately
• Proficiency in Microsoft Office
