The Opportunity  

The Scheduling Manager plays a key role in ensuring efficient, accurate, and student-centered course scheduling across multiple instructional modalities, including face-to-face (F2F), EagleVision Classroom (EVC), EagleVision Home (EVH), and online. This position provides an opportunity to collaborate with academic departments and Student Success Operations to align course offerings with student demand, faculty availability, and institutional priorities.

The Scheduling Manager will use data, problem-solving, and cross-functional collaboration to optimize resources, identify and resolve scheduling conflicts, and support the successful delivery of academic programs. The role also provides the opportunity to oversee adjunct faculty scheduling, contracts, and payroll processes while ensuring accuracy and compliance with established academic timelines.

Key Responsibilities

Scheduling Management

  • Create, organize, and maintain accurate course schedules across all instructional modalities, including face-to-face (F2F), online, EagleVision Classroom (EVC), and EagleVision Home (EVH).

  • Review scheduling reports to identify discrepancies, correct errors before student enrollment, manage class cancellations, and implement appropriate course dispersal solutions.

  • Resolve scheduling issues in accordance with established guidelines to ensure efficient, accurate, and consistent scheduling across campuses and platforms.

  • Monitor enrollment and scheduling data to adjust course offerings based on student demand, faculty availability, and institutional needs.

Department & Adjunct Faculty Coordination

  • Collaborate with academic departments and campus administration to assign and schedule courses based on departmental needs and faculty availability.

  • Partner with the Student Success Operations team, including Site Directors, to coordinate F2F and EVC course offerings based on student needs, faculty availability, and physical or virtual classroom capacity.

  • Manage adjunct faculty scheduling and course assignments, ensuring timely communication of schedule changes to faculty and relevant stakeholders.

  • Adjust course offerings as needed to accommodate changes in enrollment, faculty availability, or other operational requirements.

Scheduling Timelines & Faculty Contracts

  • Ensure compliance with established academic schedule development timelines and coordinate required scheduling activities.

  • Manage and implement adjunct instructor contract invitations, ensuring contracts are processed accurately and within established deadlines.

  • Coordinate faculty and adjunct payroll processes, ensuring timely and accurate compensation.

Scheduling Discrepancy Resolution

  • Identify and communicate scheduling discrepancies to academic departments and appropriate stakeholders.

  • Collaborate with departments to resolve scheduling conflicts and ensure accurate course section offerings across modalities and campuses.

  • Escalate unresolved or complex scheduling issues to Academic Scheduling Coordinators as appropriate.

Institutional Collaboration

  • Serve as a liaison among Academic Affairs, Instructional Design, Colleges, Student Success Operations, and other institutional areas to support accurate and conflict-free course scheduling.

  • Collaborate with institutional partners to optimize the use of campus facilities and EVC resources.

  • Identify and resolve conflicts involving classroom availability, virtual resources, faculty assignments, and course timing.

  • Maintain effective communication with stakeholders to ensure scheduling decisions support institutional priorities and the student experience.

  • Generous Time Off: Enjoy up to 18 days of paid leave in your first year, including 3 days granted upon hire and 15 days accrued throughout the year. You'll also receive 9+ paid holidays, including the day after Thanksgiving and the week between Christmas Eve and New Year's Day.

 Compensation 

 
The annual salary range for this role is up to $43,888. The final offer will be based on the candidate’s skills, qualifications, and experience, as well as applicable state regulations, internal equity, and business needs, and may fall outside of the stated range.

  • Associate degree or completion of at least 18 months of post-high school education.

  • 1–3 years of related work experience.

  • Experience in an administrative work environment.
