Scheduler III - Monday - Friday 9:30am - 6:00pm
PRIMARY FUNCTION:
Provides advanced scheduling and patient access support within imaging, laboratory, and outpatient service areas. Serves as a subject matter expert and escalation point for scheduling workflows, supporting complex scheduling needs and promoting consistency across departments. Functions as a key operational resource, helping to maintain efficient patient flow and a high-quality patient experience. Supports the Patient Access Supervisor in daily operations by assisting with workflow oversight, issue resolution, and reinforcement of departmental standards, while proactively identifying opportunities to reduce errors, improve scheduling practices, and enhance communication across imaging and outpatient locations.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
• Performs advanced scheduling and registration functions across imaging, laboratory, and outpatient services, including complex and specialized appointments.
• Serves as the primary escalation point for scheduling issues, registration discrepancies, and patient concerns requiring advanced knowledge and resolution.
• Resolves complex scheduling conflicts and coordinates with clinical and operational teams to ensure appropriate and timely patient care.
• Monitors scheduling accuracy and workflows, identifying trends or recurring issues and taking action to reduce errors and improve consistency.
• Proactively identifies opportunities to enhance scheduling processes, workflows, and guidelines, bringing forward ideas and suggestions to improve operations.
• Maintains strong, real-time communication with team members and clinical staff, utilizing communication tools (e.g., team chats) to share updates, escalate concerns, and keep teams informed of workflow changes or issues.
• Helps ensure smooth day-to-day operations across front desk and imaging locations by addressing workflow gaps and supporting timely resolution of issues.
• Demonstrates initiative in identifying and addressing operational needs, supporting continuous improvement in scheduling practices and patient flow.
• Provides real-time guidance and support to schedulers on workflows, systems, and scheduling practices.
• Promotes consistency in scheduling processes, ensuring adherence to established guidelines, templates, and departmental standards.
• Collaborates with imaging, laboratory, and outpatient departments to address workflow challenges and improve coordination across locations.
• Supports onboarding and training of new team members, reinforcing best practices and standard workflows.
• Assists the Patient Access Supervisor in day-to-day operations by supporting workflow coordination, issue escalation, and communication of operational concerns or trends.
• Supports service recovery for escalated patient concerns, ensuring timely and professional resolution.
• Maintains compliance with HIPAA, regulatory requirements, and departmental policies.
• Utilizes electronic systems (e.g., Epic) to document, schedule, and manage patient encounters accurately.
• Performs additional duties as assigned.
EDUCATION AND EXPERIENCE REQUIREMENTS:
• High School Diploma or equivalent required
• Minimum of 4 years of experience in healthcare scheduling, patient access, or medical office setting required
• Demonstrated experience handling complex scheduling scenarios and workflow coordination preferred
• Experience with electronic health records (e.g., Epic) strongly preferred
• Equivalent combination of education and experience may be considered
SPECIAL REQUIREMENTS
• Flexibility to support varying shifts, including evenings, weekends, or holidays as needed
Hourly Pay Range: $19.84 - $29.76This pay rate/range represents ChristianaCare’s good faith and reasonable estimate of compensation at the time of posting.
