Baystate Health, Western Massachusetts’s premier healthcare provider, and home to Baystate Medical Practices, the largest multispecialty group in the region, is looking for a Scheduling Coordinator to join our experienced Pulmonary/ Critical Care/ Infectious Disease team in Springfield, MA.

SCHEDULE:

  • Full Time – 40 hours a week
  • Monday through Friday 7:30am-4:00pm or 8:00am-4:30pm

  • 3300 Main St.
  • Springfield, MA

RESPONSIBILITIES: Baystate Health’s Scheduling Coordinator takes ownership of complex, multidisciplinary scheduling across inpatient and outpatient settings. Your work will directly support physician productivity and patient access by ensuring the right providers are in the right place at the right time.

Key responsibilities include:

  • Building and managing comprehensive physician schedules across clinics, operating rooms, procedural areas, and on-call coverage
  • Partnering with physician leaders, program managers, and practice teams to ensure optimal staffing and coverage
  • Monitoring and adjusting schedules in real time to meet evolving clinical demands
  • Maintaining and optimizing block schedules and provider templates using advanced scheduling systems
  • Conducting regular audits and utilization reporting, identifying opportunities for improvement
  • Managing provider time-off requests including vacation, CME, and other leave
  • Proactively identifying coverage gaps and developing forward-looking staffing plans
  • Communicating schedule updates across departments and systems (e.g., Outlook, scheduling platforms, and EMRs)
  • Supporting process improvement initiatives and educating staff on scheduling best practices

QUALIFICATIONS: 

  • High School diploma or GED
  • Highly organized, detail-oriented
  • 5 or more years of experience in a healthcare administrative setting, required
  • Five or more years managing complex multi-disciplinary schedules, and strongly prefer experience in physician and medical procedure scheduling, preferred

Note: The compensation range(s) in the table below represent the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries may vary by position and will be determined based on the candidate's relevant experience. No employee will be paid below the minimum of the range. Pay ranges are listed as hourly for non-exempt employees and based on assumed full time commitment for exempt employees.

$23.46 - $26.97 - $31.91
