The Role

The Samples Coordinator is responsible for the end-to-end coordination of product sample shipments to retail buyers, internal teams, and business partners. This role ensures samples are prepared, shipped, tracked, and delivered accurately and on time.

This is an entry-level logistics and operations role designed to build foundational experience in shipping coordination, inventory organization, and operational execution. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Key ResponsibilitiesSample Coordination & Shipping
  • Coordinate and process outgoing sample shipments to retail buyers, vendors, and internal stakeholders.
  • Prepare shipping labels, documentation, and packaging to ensure shipment accuracy and compliance.
  • Schedule and manage shipments using small parcel carriers such as UPS, FedEx, or similar platforms.
  • Ensure all samples are shipped according to required timelines and delivery expectations.
  • Organize and prepare sample materials for shipment.
Tracking & Communication
  • Monitor and track shipments to ensure successful delivery.
  • Proactively communicate shipment status and delivery updates to internal teams and recipients.
  • Confirm receipt of samples when required.
  • Troubleshoot basic shipment issues including delays, incorrect addresses, and reshipments.
Data Accuracy & Systems Management
  • Maintain accurate shipment records within internal systems, including ERP, TMS, Shopify, or tracking tools.
  • Ensure proper data entry of SKUs, shipping details, addresses, and order information.
  • Support reporting and documentation related to sample activity and shipment tracking.
Operational & Administrative Support
  • Provide administrative support to Logistics Coordinators and cross-functional teams.
  • Assist with maintaining organization of sample inventory, shipping supplies, and operational workflows.
  • Follow standardized logistics processes and contribute ideas for process improvements.
  • Support day-to-day operational tasks to ensure efficient execution.
QualificationsRequired
  • High school diploma or equivalent.
  • 0–1 year of experience in logistics, operations, retail, administrative support, or related environments.
  • At least 1 year of experience using Shopify.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Basic computer proficiency, including Excel, email, and internal systems.
  • Strong written and verbal communication skills.
Preferred
  • Experience with shipping platforms such as UPS, FedEx, or similar carriers.
  • Experience using Monday.com.
  • Exposure to retail, supply chain, logistics, or order fulfillment environments.
  • Familiarity with ERP, inventory, or logistics systems.
