ABOUT THE ROLE
The Customer Service / Sales Coordinator acts as a key point of contact between customers, Sales, Production, and technical teams. The role is focused on supporting customer requests, coordinating orders, monitoring production status, and ensuring timely communication throughout the order lifecycle.
The successful candidate will provide a high level of customer service, support sales activities, and help ensure that customer requirements are clearly understood, properly communicated internally, and delivered according to agreed timelines.
Key Responsibilities
1. Customer Relationship & Sales Support
Initiate direct contact with potential customers to present products, services, and solutions.
Attend customer meetings or visits with technicians or subject matter experts when required.
Introduce new products and services to existing and potential customers.
Support sales activities, including quotation preparation when required.
Communicate with customers by email to understand their specific requirements and provide information on solutions, pricing, and timelines.
Act as a central point of coordination between Sales, customers, and the Production department.
2. Order Coordination & Production Follow-up
Prepare order confirmations and order status reports for customers.
Coordinate with Sales and Production teams regarding order status, artwork status, scheduling, and any updates required to meet customer expectations.
Track production order status and provide regular updates to customers on order progress and delivery plans.
Ensure that customer requirements are properly communicated internally and followed throughout the order process.
Monitor customer feedback and operational information to help improve customer satisfaction and service performance.
3. Documentation, Logistics & Administrative Support
Prepare shipping documents and support the coordination of delivery-related documentation.
Source and compare pricing from freight forwarders and logistics service providers.
Support internal teams with accurate and timely information related to order processing, delivery planning, and customer communication.
Maintain clear records and follow up on routine administrative tasks linked to customer orders and sales support.
ABOUT YOU
Qualifications
Experience
1 to 3 years of experience in customer service, sales coordination, sales support, or another related field.
Experience working with customers, internal departments, and operational teams.
Previous exposure to order coordination, production follow-up, logistics, or sales administration would be an advantage.
Skills & Competencies
Excellent command of English, both written and spoken.
Good knowledge of basic Windows applications and Microsoft Office, including Word, Outlook, and Excel.
Strong communication skills and ability to interact professionally with customers and internal stakeholders.
Service-minded, flexible, and customer-oriented.
Able to prioritize tasks under time pressure.
Comfortable multitasking and managing several requests at the same time.
Patient and accurate when handling routine administrative tasks.
Positive attitude and willingness to support the team.
Strong team player with good interpersonal skills.
Highly motivated to learn and build a long-term career in a sales environment.
Desired Experience
Experience in a sales coordination or customer service role within a production, manufacturing, printing, packaging, logistics, or technical environment.
Familiarity with order processing, customer follow-up, shipping documentation, or freight coordination.
Ability to work with cross-functional teams including Sales, Production, Customer Service, Logistics, and Technical Support.
