Job DescriptionAs a Sales Technology Specialist, you will be a key member of our Revenue Transformation team, supporting the sales organisation as the day-to-day administrator of our sales technology stack starting with HubSpot and DealHub. You will own user access and role mapping for sales, keep platform configuration aligned to how the sales teams actually work, and provide the usage reporting that shows where adoption is strong and where it needs support. The role suits someone who enjoys being the practical bridge between sales, marketing operations and IT - comfortable in the systems, but equally comfortable helping a seller get more from them.
You will work extremely closely with Marketing Operations and the Marketing platform Administrator, so a collaborative, governance-aware approach is essential. You will contribute to sales enablement - building and maintaining the guidance, training and templates that help the sales organisation adopt new capability with confidence.
Key Responsibilities
CRM Administration
- Manage HubSpot user access for the sales organisation, including onboarding, offboarding, seat allocation and permission sets.
- Maintain role mapping and teams structure within systems.
- Manage licence allocation and user access across the sales technology estate, including Demandbase, LinkedIn Sales Navigator, Lusha, ZoomInfo, HubSpot, DealHub.
- Own the sales technology access request queue end to end, processing user application requests through the IFS service request process and acting as the single point of administration for sales tool access.
- Deliver minor configuration, field changes and additional functionality for sales tools — property creation, picklist values, form and record layout adjustments, workflow updates and user-facing enhancements - within agreed governance and CAB approval.
- Produce and maintain user usage and adoption reporting for sales leadership.
- Manage seat and record technology usage against contractual limits, flagging risks before thresholds are reached.
- Triage and resolve day-to-day sales technology requests and troubleshooting, escalating platform-level or integration issues to IT.
- Support sales enablement and training activity - process documentation, quick reference guides, training materials, knowledge articles and signposting for new and existing users.
- Run regular audits of data quality, duplicate records, property usage and system hygiene across sales-owned data.
- Monitor data flow between HubSpot and IFS CRM from a sales perspective, working with the owners of the integration design rather than changing it directly.
- Partner with Marketing Operations on shared configuration, release changes, UAT testing and platform updates.
- Keep administration documentation current, including access models, change logs and standard operating procedures.
- Provide financial and commercial administration for the sales technology stack, including procurement support, purchase order creation, invoice receipting, licence tracking and budget or spend queries.
- Act as the first point of contact for sales tooling vendors on day-to-day access, support and administrative matters, maintaining effective vendor relationships and working with Procurement, Finance and Legal on contractual, payment and renewal queries.
Qualifications
- 2–4 years of hands-on experience administering a CRM or sales technology platform, ideally HubSpot.
- Practical understanding of user management, permissions and role-based access in a commercial system
- Exposure to sales enablement, training or user support activity.
- Experience collaborating with Sales Ops and/or Marketing Ops teams.
- Familiarity with sales intelligence and prospecting tools such as Demandbase One, Lusha or LinkedIn Sales Navigator.
- Comfortable with basic commercial administration - purchase orders, receipting, licence tracking and vendor correspondence.
- HubSpot certifications preferred.
- Fluent English, written and spoken; based in Poland.
Essential Skills
- Comfortable in a fast-paced, cross-functional team environment.
- Strong attention to detail and documentation.
- Excellent communication and stakeholder engagement skills across sales, marketing, finance and IT.
- Proactive problem-solving mindset with a focus on delivery.
- Self-motivated and organised, able to manage multiple requests and competing priorities.
- Keen interest in sales technology, adoption and the tools that help sellers work more effectively.
- Hybrid work and flexible working time models
- 26 vacation days, as well as additional paid vacation days for your own birthday and voluntary work (CSR)
- Private medical care, multisport card, life insurance, Individual support through regular health promotion and the compatibility of work and private life and much more are part of our company practice
- Great challenges in delivering projects to large customers together with an experienced IFS team and our partners
- You work with a great product with good recognition in the market and amongst customers and analysts
- You will be part of a fun group where everyone is helpful
