How will you make an impact? 

We’re looking for a Sales Operations Specialist to drive our business and enable our growth. This role is responsible for creating accurate and timely sales opportunities, quotes, and estimates based on data from previously executed work, technician-provided recommendation forms, and component/data sheet information. Opportunities and quotes are created in Salesforce, saved as PDFs, and emailed directly to clients, with consistent follow-up on unaccepted quotes. This role requires strong attention to detail, excellent communication skills, and the ability to work collaboratively with multiple departments—including sales, operations, and field technicians—to ensure customer satisfaction and successful sales operations. The ideal candidate is a flexible individual who learns quickly and can master opportunity, quote, estimate, and order management. 

What will you do? 

Responsibilities

  • Create accurate and detailed sales opportunities and quotes based on prior work completed for clients or information provided for quoting a new system. 

  • Review customer requirements and specifications to ensure all necessary information is included in the Opportunity. 

  • Use data sheets, component information, and readings, along with technician-provided recommendation forms, to create estimates in Salesforce for PM agreements, repairs, retrofits, remove and replacements, and build ups. 

  • Create cost sheets of equipment and parts for use during estimating, parts ordering, and as packing slips for technician job boxes. 

  • Use prior cost sheets and estimates when applicable to make preparing new estimates easier and faster. 

  • Research equipment, components, parts, and materials for estimating, and use established vendor price lists when available. 

  • Issue price requests to vendors for equipment and parts to add to estimates, and quote outgoing and incoming freight to add to estimates. 

  • Maintain forms, lists, customer file folders, and parts ordering spreadsheets. 

  • Work with the Field Service Manager and field technicians on more difficult estimating. 

  • Establish, create, and maintain spreadsheet templates. 

  • Recommend, establish, update, and enforce pricing and mark up protocol, and establish and enforce equal pricing for all clients. 

  • Update vendor pricing and price lists as necessary 

  • Identify improvements to streamline the opportunity and estimating creation process. 

  • Implement best practices and standard operating procedures to enhance efficiency and accuracy. 

How will you get here? 

Education and Experience 

  • High school diploma or equivalent; associate or bachelor’s degree in business, finance, or related field preferred. 

  • 2 years experience in a sales support or administrative role, preferably within services industry. 

Knowledge, Skills, and Abilities 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software. 

  • Proficiency in using Customer Relationship Management (CRM) software to manage and track sales opportunities 

  • Knowledge of sales processes and the sales funnel, including lead generation, qualification, and conversion. 

  • Ability to work collaboratively with multiple departments (sales, operations) to gather necessary information and ensure customer satisfaction. 

  • Strong attention to detail and organizational skills. 

  • Excellent written and verbal communication skills. 

  • Ability to work independently and collaboratively in a fast-paced environment. 

  • Strong problem-solving skills and a customer-focused mindset.

Skills Required
