Job Purpose
The Sales Support Associate is a key administrative role responsible for providing operational and administrative support across the organization’s Inside Sales and Field Sales teams and brands. This position helps ensure sales teams can remain focused on achieving business objectives.
The Sales Support Associate collaborates with Sales, Marketing, and other cross-functional teams to provide administrative support, maintain efficient processes, and ensure effective sales operations across brands. Responsibilities include supporting sales materials, meetings, new hires, reporting, open territories, and special projects as needed.
Essential Job Functions
- Creates, maintains, and distributes recurring and ad hoc reports for Rare Brands to support sales leadership and field teams.
- Provides administrative support for new hires and promotions across all sales brands, including coordinating collateral shipments, name tags, apparel, workspace preparation, and other onboarding materials.
- Manages the Inside Sales collateral inventory across all brands, including maintaining the collateral closet, coordinating replenishment and distribution, and ensuring expired materials are appropriately removed and destroyed.
- Manages inventory and distribution of demo pens and other sales demonstration materials for the Inside Sales and Field Sales teams.
- Maintains the Master Sales Calendar across all brands, ensuring sales meetings, events, conferences, trainings, and key deadlines are accurately scheduled and communicated.
- Processes and coordinates purchase orders for sales-related goods and services in accordance with established company procedures.
- Coordinates administrative logistics for Brand Meetings and other sales meetings, including meeting reservations, food and beverage orders, deliveries, supplies, and related arrangements.
- Prepares and maintains New Hire and Promotion slides for Gvoke national sales calls and other sales team communications.
- Serves as an administrative liaison between sales teams, corporate departments, vendors, and other business partners to coordinate requests, resolve issues, improve consistency across brands, and ensure timely completion of administrative activities.
- Proactively coordinates multiple administrative priorities and projects across sales brands, ensuring deadlines, deliverables, and follow-up activities are completed accurately and on time.
Skills and Qualifications
- Bachelor’s degree required
- 1-2 years of experience in a professional, fast paced environment
- Some administrative support or project management experience required
- Highly proficient with Adobe and Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
- Competencies: Customer Service focus, Attention to Detail, Highly Organized, Strong Interpersonal skills, Team Player, Excellent Verbal and Written Communication skills, Time Management skills
Working Conditions
- Position may require periodic evening and weekend work, as necessary to fulfill obligations. Periodic overnight travel.
- This role is based in Xeris’ Chicago office and requires five days per week in the office. On-site requirement may change at management’s discretion.

The anticipated base salary range for this position is $52,500 - $75,000

The level of the position will be determined based on the selected candidate’s qualifications and experience. Final determination of the actual base salary offered depends on several factors, including but not limited to the candidate’s skills, experience, education, location, and business needs. Employees are eligible for equity or long-term incentive awards, where applicable. Field Sales role employees are eligible for a quarterly commission structure. Non-Sales role employees are eligible for an annual bonus.
