The Sales Support Associate is responsible in assisting, supporting, and performing a variety of administrative support activities pertaining to the lease and sale of HOLT Truck Centers, trucks and trailers.
The incumbent in this position is expected to model the following practices daily: 1) Demonstrate alignment with the company's mission and core business values; 2) Collaborate with key internal/external resources; 3) Participate in ongoing self-development.
Essential Functions
- Models HOLT’s Values-Based Leadership (VBL) and supports internal and external customers, including sales representatives, throughout new and used truck and trailer transactions
- Manages inventory setup, including running daily manufacturer invoice reports, importing invoices/MSOs, creating stock numbers and inventory records in HOLT CRM, reviewing daily orders, and preparing unit jackets
- Maintains accurate and audit-ready deal documentation, organizing and verifying paperwork, gathering required documents, and scanning completed files into eManager
- Supports DMV and regulatory processes, including title and registration transfers, trips to the DMV when needed, staying current on requirements, and processing Vehicle Inventory Tax (VIT) for all locations
- Monitors license plate inventory, verifies availability across locations, and submits reorder requests as needed
- Performs administrative tasks, including filing, shipping documents via FedEx, supporting general office processes, and other administrative duties as assigned
- Demonstrates professionalism, maintaining punctual attendance, adhering to safety and company policies, and performing other duties as assigned
Knowledge, Skills, and Abilities
- Basic to intermediate knowledge of business accounting principles
- Intermediate knowledge of Microsoft Office products (Word, Excel, Outlook, etc.); Ability to learn DBSi, CDK, Procede, eManager, and manufacturer portals
- Strong attention to detail and data entry accuracy
- Exceptional organizational, time management, and multi-tasking skills
- Self-starter with the ability to work independently in a fast-paced environment
Requirements
Education and Experience:
- High school diploma or equivalent required
- 2 years’ administrative or dealership experience preferred
Supervisory Responsibilities:
- None
Travel:
- Up to 5% of travel may be expected
Physical Requirements:
- This position involves extended periods in a stationary position; additionally, occasional movement inside the office to access office machinery, file cabinets, etc.
- This role frequently communicates with others, must be able to exchange accurate information in these situations
- Occasionally moves materials or equipment weighing up to 10 lbs.
- Constant movement and use of limbs; this position requires good manual dexterity, coordination, and stamina
- Routinely reacts to visual, auditory, and other signals, including alarms and instructions, and is required to visually inspect work
Work Environment:
- Regularly works indoors in environmentally controlled conditions
- Occasionally, works outdoors and may be exposed to extreme weather conditions that include inclement weather, heat, cold, and humidity
- Frequently works at fast pace with unscheduled interruptions
