Job Description

About the job: This position will be based in the GSS office in Mumbai and support the regional Sales teams based in ACS TCS offices in Houston and Frankfurt. They will work on various tasks and projects, as assigned by the Sales teams. These will include things such as creating and maintaining sales orders in the system, reviewing and allocating supplier invoices and coordinating with internal teams and suppliers. This is a hands-on role requiring a strong sense of ownership, attention to detail and a collaborative mindset.

Key Responsibilities:

  • Entry and maintenance of orders in our internal booking and transport software
  • Review and allocation of incoming invoices from our suppliers (couriers, airlines, handling agents, etc.)
  • Coordination with the accounting department in London and New York to ensure proper invoice approval and timely payment
  • Processing and responding to queries and clarifications with our suppliers (e.g., in the event of discrepancies or missing information)
  • Tracking missing supplier invoices and maintaining corresponding overviews
  • Support with month-end closing, e.g., by preparing accounting-relevant data
  • Support of the operational team (e.g., tracking orders, booking airline tickets, hotels, etc.)
  • Maintenance and updating of supplier and customer master data
  • Archiving and filing of order-related documents
  • Support in adhering to internal compliance and quality guidelines
  • Work on any unplanned, ad-hoc or seasonal projects that may come up from time-to-time

Qualifications

Educational Qualification: Bachelor’s degree in any discipline from a reputed university

Required Skills:

  • Proficiency in office software (MS Office and Google Workspace)
  • Excellent communication skills, both written and verbal
  • Excellent phone etiquette
  • Strong analytical and problem-solving skills
  • Willingness to learn on the job and be adaptable
  • Ability to prioritize and organize work

Work Experience: Minimum 1-2 years of relevant experience of working in Sales Support teams or as an Administration Assistant in reputed organizations
