Job Description

Role Overview

This role will report directly to the Customer Manager based in Shannon and will have primary responsibility for supporting CVD Customers. The Sales Operations Specialist proactively manages the day-to-day customer activity and related business processes from order receipt to shipping and invoice generation. The role is to deliver flawless customer experience and owns the delivery of the 0-3 months revenue target through disciplined forecast monitoring (demand control) and execution. This position is the main point of contact for customer and distributor queries and escalations.

Key Responsibilities

  • Own delivery of the 0–3-month revenue plan through effective demand control, proactively monitoring bookings, backlog, forecast, supply constraints, and shipment outlook to identify risks and opportunities early, and drive recovery actions with Sales, Supply Chain, and Operations, and ensure Future Master reflects all changes.
  • Manage Webstore enquiries, which include quotations, order entry, payments & fulfillment. Ensure stock level maintenance and pricing list are kept updated.
  • Be first point of contact for the [email protected] mailbox.
  • Own and continuously improve end-to-end sales processes, from lead management and forecast accuracy through to order administration, order fulfilment and after-sales service, identifying bottlenecks and implementing solutions by defining system requirements, managing enhancements, and working with IT on system improvements.
  • Manage sample requests and ensure they are prioritised through production and shipment.
  • Ensure consistent execution of sales policies, procedures, and governance across the organization.
  • When products are constrained, proactively identify and propose suitable alternatives (product substitution), confirm availability and commercial impact, obtain required approvals, and update quotes, orders and customer communications accordingly.
  • Manage Microsoft Dynamics CRM and ERP data quality: for accurate customer master data, pricing/discount structures, product set-up, territory/account assignments and user support (in line with governance). 
  • Utilise Microsoft Dynamics CRM as a relationship management and sales enablement tool, driving CRM adoption and user compliance. Register and manage all customer activities, including appointments and actions, in CRM.
  • Support sales leads process at enquiry stage.
  • Coordinate pricing and PMR quotation set-up, approvals, contract and commercial checks, and order processing.
  • Partner with Finance, Quality, Supply chain and Operations on resolving customer queries within policy. This may involve credit, invoicing, and product returns, ensuring adherence to policy and timely resolution of customer queries

  • Technical minded - Keeping up to date with product and service information and competitor offerings

Qualifications

  • Third-level qualification in Business, or related discipline (or equivalent experience).
  • 3+ years’ experience in Customer facing or Customer focused role i.e. Sales Operations, Commercial Operations, Sales Support, or a similar role in a fast-paced, process-driven environment
  • Demonstrated experience supporting sales teams and senior leadership.
  • Experience in process improvement and forecasting.
  • Growth mindset, and enthusiasm for adopting AI, automation, and digital technologies to improve business performance and customer outcomes.

You are commercially savvy and understand how pricing, supply constraints and fulfilment decisions impact revenue outcomes and customer commitments. You can communicate clearly with Sales and internal teams, manage competing priorities, and remain calm under pressure while ensuring accuracy and follow-through. You take ownership, look for root causes, and drive practical improvements that increase sales productivity to enhance customer experience.

You are confident working with both current and evolving data and systems, and you are comfortable adapting to change. You embrace the use of AI and digital tools to improve efficiency, creating more time to strengthen customer intimacy and relationship management.

Occasional ad hoc travel may be required to support business needs.

 

Skills Required

  • Third-level qualification in Business, a related discipline, or equivalent experience
  • At least 3 years of experience in a customer-facing or customer-focused role, such as Sales Operations, Commercial Operations, or Sales Support
  • Experience supporting sales teams and senior leadership
  • Experience in process improvement and forecasting
  • Strong proficiency with Microsoft Dynamics CRM, specifically Dynamics 365, and comfort working across CRM and ERP systems
  • Understanding of data governance and master data principles
