Job Purpose:
Provide administrative and organizational support to the Sales Director and sales team. The role focuses on day-to-day office management, meeting coordination, team expense management, and ensuring smooth operations and effective communication within the team.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative assistance to the Sales Director, including managing calendars, scheduling meetings, coordinating travel arrangements, handling correspondence, and tracking expenses to ensure compliance with company policies and budgets.
  • Meeting and Event Coordination: Organize and coordinate meetings, events, and team gatherings. Handle logistics such as booking venues, preparing materials, arranging catering, and ensuring all technical requirements are met.
  • Internal Communication: Serve as a point of contact for internal communication within the sales team. Ensure that all relevant information is communicated effectively and in a timely manner.
  • Vendor and Contract Management: Assist in managing vendor relationships by handling administrative tasks related to contract renewals, invoicing, and vendor communications.
  • Team Expense Management: Monitor and control team expenses in accordance with the company’s Standard Operating Procedures (SOPs). Ensure compliance with internal policies for all team expenditures and provide regular reporting on expense tracking.
  • Travel and Logistics Support: Manage the travel arrangements for the sales team, including booking flights, accommodations, and transportation. Ensure that all travel plans are aligned with company policies and budget guidelines.
  • Office Management: Provide day-to-day office support to ensure that the sales team operates efficiently. Order office supplies, manage office equipment, and coordinate with facility management as needed.
  • Documentation and Filing: Maintain organized records of all sales-related documents, contracts, and communications. Ensure that documents are archived according to company policies and are easily accessible when needed.
  • Onboarding Support: Assist in welcoming new team members by coordinating onboarding activities, arranging training sessions, and ensuring access to required tools and resources.
  • Compliance: Ensure that all administrative tasks and processes comply with the company’s internal policies and relevant regulations, including budget and expense reporting, vendor management, and event organization.

Qualifications & Skills:

  • Experience in administrative support, office management, or a similar role preferred.
  • Strong organizational skills with a keen attention to detail and the ability to manage multiple tasks simultaneously.
  • Effective communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work efficiently in a team-oriented environment and collaborate with cross-functional departments.
  • Strong problem-solving skills with a proactive and adaptable approach to work.
  • Experience in travel planning and event organization is a plus.
  • Familiarity with expense management and compliance with internal policies is preferred.
  • Additional advantages: A university degree and proficiency in English would be considered beneficial for the role.
