Job PurposeThe Sales Desk Coordinator provides administrative support for Sales Desk leadership and coordinates all sales desk events, working with Marketing, Compliance, IT, Corporate Support Services, Facilities, and Dining Services. This individual independently manages certain administrative and operational projects and collaborates across departments to identify and implement process improvements that enhance efficiency and team performance.Essential Responsibilities
  • Provides administrative support for Sales Desk leadership and the Internal Sales Desk.
  • Coordinates all sales desk-related events, including sending invitations, creating agendas, room set-ups, video conference set-up, etc., as well as any departmental projects, including presentations and competitions.
  • Coordinates scheduling for Sales Desk leadership and associates.
  • Coordinates various meetings between the Sales Desk and other departments.
  • Researches any problems or opportunities and follows up with the appropriate course of action.
  • Assists in the strategy, planning, and implementation of Assurance/Disaster Recovery Updates.
  • Tracks meetings, special compensation, recruitment pipeline, on-boarding, level changes, leaderboards, promotions, and competitions/presentations.
  • Serves as a key contact for all IT tickets, floor/desk moves, and AV/TECH.
  • Processes new hire/transfer paperwork for various positions within the Sales Desk.
  • Manages the inventory of office/breakroom supplies as well as Telecom and other equipment.
  • Acts as the liaison for all third party vendors working with the Sales Desk.
  • Prepares reports addressing sales-related activity, such as department phone activity, timekeeping systems, and other various data as requested by Sales Desk leadership.
  • Manages a variety of administrative workflows and operational functions that support the overall effectiveness of the Sales Desk. This includes maintaining and organizing departmental data, reports, and tracking systems to assist management in decision-making and ensure operational transparency.
  • Oversees office logistics, such as workspace coordination, equipment management, and supply inventory, to maintain smooth daily operations.
  • Supports event planning and execution for internal meetings and departmental gatherings while facilitating communication and collaboration across departments to ensure alignment on projects, reporting, and process improvements.
Other Duties
  • May lead or participate in special initiatives designed to improve administrative processes and enhance team efficiency.
  • Performs other duties and/or projects as assigned.
Knowledge, Skills and Abilities
  • Strong knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook. Knowledge of OneNote, Forms, and Power Automate preferred.
  • Self-motivated with an ability to multitask and prioritize tasks appropriately.
  • Strong attention to detail.
  • Ability to work independently and as part of a team.
  • Strong written and verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Ability to handle confidential information.
  • Ability to work in a deadline driven environment and willingness to be a part of a fast-paced, dynamic team.
  • Demonstrated ability to manage projects independently, coordinate events, and collaborate across departments.
  • Strong organizational and data management skills with the ability to maintain accurate records and reports.
  • Ability to work independently to resolve administrative or operational issues, contributing to a high-performing and efficient team environment.
Qualifications
  • H.S. Diploma or equivalent (GED) required.
  • Bachelor's Degree preferred.
  • 2+ years of previous administrative and/or coordination experience required.
