Job-description: Your main duties and responsibility are sales coordination, sales back-office and sales support tasks. The sales coordinator role includes internal and external communicating via email and telephone. A highly reliable customer service in terms of product delivery and related paper work and documentation is important. 

Main responsibilities: 
  • Back-office sales coordination:
    • Entry of customer quotes in OMS system according to Sales Manager input
    • Manage weekly delivery schedules
    • Entry of POs and amendments into OMS system
    • Entry of paid/unpaid samples/-Z orders in sample & tracking tool
    • Entry of shipment requests in scheduling module
    • Fill out documents for set up of new customers + change customers in OVT system + CRM system
    • Confirm ship dates to customer
    • Help Accounts payable with collections
    • Coordinate with AP/HQ scheduling for prepaid customers
    • Entry of RMAs
    • Support of different Europe and UK Distribution partners, which are being used for small and medical customers across Europe and Israel
    • Working closely with Sales Managers and other functions in the customer support team (e.g. FAEs, CQEs)  to ensure a smooth execution of product delivery and overall customer support
Office management tasks (primarily as a vacation/leave back-up): 
  • Manage office purchase requisitions, e.g. for office equipment, in iProcurement system
  • Manage service providers/contracts (e.g. printer service contract and office cleaning company)
  • Manage employee vacation application and planning (in cooperation with local CPA)
  • Manage employee expense claim, approval and payment flow
  • Marcom event/conference organization support, e.g. shipping support for conference booth and demo systems
  • Manage internal shipments, e.g. eval boards, prototype modules and shipping customer samples
Your profile: 
  • You have proven experience as sales assistant/coordinator and for office management roles
  • You are familiar with OMS, CRM, ERP and general office SW (e.g. Word, Excel, PowerPoint, SharePoint, Confluence)
  • You like to work in technology environment and you have some technical expertise
  • You pay attention to detail and have a strong focus on customer service
  • You are familiar with general office management
  • You show excellent organizational and time management skills and have the ability to multi-task and prioritize work
 
Professional requirements: 
  • 3years experience as Sales Assistant/Coordinator and/or office management
  • Bachelor degree or relevant secondary education with relevant job experience
  • Good English (minimum B2 level) or native English speaker

Skills Required

  • Three years of experience as a Sales Assistant, Sales Coordinator, and/or in office management
  • Bachelor's degree or relevant secondary education with relevant job experience
  • Good English proficiency at minimum B2 level or native English speaker
  • Experience with OMS, CRM, ERP, and general office software
  • Technical expertise or comfort working in a technology environment
  • Strong customer service orientation and attention to detail
  • Excellent organizational and time management skills, with ability to multitask and prioritize
