We’re excited to announce an opportunity to join our amazing team! We're looking for a Sales Coordinator I who’s detail-oriented, proactive, and enjoys working closely with others to keep things running smoothly. 

Summary

Plan, coordinate and initiate the processing of customer Purchase Orders. Work directly with management and sales teams as it relates to customer forecasting, order processing, product availability, delivery schedules and customer follow-up to ensure customers receive on time and conforming products, while meeting department goals and objectives. Maintain professionalism in a self-directed team environment.

 Duties and Responsibilities

  • Processing customer purchase orders, as well as coordinating and scheduling product shipments (both domestic and international). Managing open orders for multiple customer accounts simultaneously.
  • Review purchase orders and related documents to ensure compliance with internal procedures and customer requirements. Maintain accurate records pertaining to individual orders.
  • Track material status through production, testing, and finished product stages to ensure on-time-delivery. Confirm product meets required certifications and specifications, and obtain necessary management approvals prior to shipment.
  • Communicate with carriers/forwarders/logistics regarding customer shipments, and inform customers of delivery schedule changes. Maintain conformance to all applicable shipping laws and regulations, both domestically and for import/export.
  • Respond promptly to customer inquiries. Build customer reliance by providing accurate information and support, which may include determining root cause and solutions for corrective action.
  • Maintain and manage systems and internal processes, ensuring all information is accurate and up-to-date. Support the sales team in achieving targets through effective follow-up and organization.
  • Collaborate with multiple departments to facilitate sales operations, including but not limited to: Production, Planning, Administration, Technical, Accounting, Quality Assurance, Contracts, and Compliance.
  • Research customer open order(s) against available credit as necessary to comply with established accounting guidelines.
  • Maintain confidentiality of all propriety information, as well as information related to customers and customer orders.
  • Provide general support to Sales Operations staff as necessary, including coverage and assistance with the processing and fulfillment of orders.
  • Occasional out-of-state travel for training and site visits may be required, as applicable to the position.

 Skills and Specifications

  • Possess a strong attention to detail, with proficiency in data entry and management using ERP software and Microsoft Office applications, including Excel and Word.
  • Ability to utilize communication platforms (i.e. Microsoft Outlook, Zoom, etc.)
  • Strong organizational skills with the ability to manage multiple priorities and adapt to changes while maintaining accuracy.
  • Strong problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to self-motivate, take initiative, and maintain focus.
  • Skilled in handling customer inquiries, resolving customer complaints, and ensuring customer satisfaction.
  • Ability to develop close working relationships with external and internal customers.
  • Strong interpersonal skills with the ability to work effectively both independently and in a team-oriented environment.
  • Knowledge of sales department techniques, and familiarity with compliance policies and regulations.

 Education and Qualifications

Required:

  • Associate’s degree in Business, Sales/Marketing, or a related field.
  • 2+ years of experience in a sales support or coordination role, customer service role, or a related field.
  • General computer experience and proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.

Preferred:

  • Experience with ERP software (i.e. Microsoft Dynamics 365 or similar ERP platforms).
  • Working knowledge of sales coordination processes and techniques.
  • General knowledge of Import/Export laws and regulations.

Compliance with US Export Control Regulations: This position requires use of information which is subject to the International Traffic in Arms Regulations (ITAR) and/or the Export Administration Regulations (EAR).  In order to comply with these regulations, applicants for employment must be a “U.S. Person” as defined by the ITAR and/or EAR.  The definition of “US Person” includes U.S. citizen or national, U.S. permanent resident, or lawfully admitted into the U.S. as a refugee or granted asylum.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Job tasks are usually performed in an office environment.

Position requires the ability to read, write, speak and understand English at a level necessary to successfully perform assigned responsibilities.  Position occasionally requires the ability to make quick decisions related to product needs and customer order issues. Ability to utilize interpersonal and teamwork skills, perform basic mathematical computations, and to understand and apply work specifications in the completion of work tasks. The ability to hear, speak, use hands/fingers and the repetitive motions of hands/wrists are occasional.  Ability to lift 10 pounds occasionally. Vision abilities require the adjustment and focus of sight. Must be able to perform the essential functions of the position with or without accommodation.
