Job Description:
As a Part Sales Coordinator with BW Converting Solutions, you would play a pivotal role in partnering with Part Sales Representatives to manage customer communications and ensure orders and quotes are processed accurately. You will coordinate with the shipping team for invoicing, validate order details, and update records with new shipping dates as required. Your organizational skills and dedication to delivering exceptional service will help keep our operations efficient and customer-focused.
Job Responsibilities:
• Perform accurate order entry using electronic processing tools, ensuring timely and efficient data management.
• Update and maintain customer orders, including tracking Ship Complete orders and making adjustments as necessary.
• Manage customer communications by processing quote requests, sending copies to customers, and coordinating updates.
• Handle customer returns by creating Return Goods Authorizations and managing the process for credit, repair, or warranty resolution.
• Investigate and resolve shipment issues by determining root causes and creating Quality Incident Reports.
• Update customer documentation with relevant shipping information and changes to order status, including new ship dates.
• Process invoicing by coordinating with the shipping team, validating order details, and physically invoicing customers.
• Create and process credits, debits, and credit card transactions efficiently, while collaborating with internal departments to ensure seamless order fulfillment.
• Maintain and organize records in the ERP system, CRM, and other documentation platforms, while generating and distributing reports as required.
• Other duties as assigned
Education and Experience Requirements:
• High school diploma required
• Proficient in Microsoft Office
• Experience with ERP systems
• Administrative experience preferred
• Strong multitasking and prioritization skills
• Excellent communication and problem-solving abilities
