Job Summary:
The Sales Assistant supports the sales function by partnering with branch, sales and marketing leadership and the Account Executives. This role oversees internal processes associated with account management and campaign activation. As a member of the Clear Channel Sales Assistant Team, the individual plays a critical role in executing campaigns and satisfying related obligations as required by the client. The individual produces deliverables necessary to fulfill customer contracts post-sale, coordinates successful campaign execution through effective communication of status and assignment of tasks, and produces additional deliverables as needed. The sales assistant will report to the VP Sales and will work closely with the Ad Operations team as well as various support teams across the region and state.
Job Responsibilities:

Review records and documents, such as client contracts, to identify and understand requirements.

Identify risks to accurate and timely fulfillment of client requirements, investigate causes, and communicate findings clearly and professionally to stakeholders, and facilitate resolution as instructed.

Respond promptly to inquiries for additional information on deliverable status, as well as requests for additional client-related deliverables to support maintenance of the client relationship.

Prioritize a large number of tasks based on work required and external due dates to ensure accurate and timely completion of deliverables.

Gather and organize information related to successfully execute client campaigns, including: material status; posting status; proof of performance images and reports; etc.

Enter and retrieve data in various proprietary company systems.
Produce lists and tables in Microsoft Excel according to client specifications.

Support Account Executives with CRM, Sales Force administration with items such as account set up, hold management and preparing reports
- Assist in proposal creation, RFP generation, editing, and output utilizing Proposal+ software and other internal systems
- Assist Marketing and Sales Leadership in research & reporting for Account Executive client prospecting
- Prepare campaign documents including but not limited to space and production contracts, posting instructions for both printed and digital creative assignments, commission coversheets, billing action forms, etc.
- Review billing and accounts payable issues in collaboration with Finance Team
- Generates reports such as, weekly sales report, ad hoc reports and renewal reports
- Assist Account Executives with internal requests for Marketing Research, Creative and Mapping
- Field inbound sales calls and supply Sales Manager with call back information.
- Coordinate and liaise in interact with other departs could RE and operation, Sales, Charting
- Support Sales Leadership with team communications
- Manage general office administration – answer phones, order supplies, shipping, maintain files, etc.
- Other duties as assigned
Job Qualifications:
Education and Certifications
- 4-year college degree, BA/BS or equivalent preferred or a combination of relevant work and educational, military experience.
Work Experience
- 2-3 years of experience supporting sales with a preference in media sales environment.
Skills
- Able to deal with problems quickly, multi-task, and prioritize work.
- Strong organizational / time management skills and be detail oriented.
- Excellent communication skills
- Strong analytical capabilities and interest in advertising, marketing and sales.

Experience supporting or collaborating with multiple teams.
- Competent in Microsoft software applications (i.e., Word, Excel, Outlook, and PowerPoint.).
- Willing to learn internal programs and systems to the level of fluency.

Physical Demands
The demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job:
- Employee must have the ability to sit and/or stand at a desk for a minimum of 8 hours a day and complete tasks requiring repetitive use of hands
- Employee must have the ability to see written documents, computer screens and to adjust focus
- This job is performed in a temperature-controlled office environment

- Testing in Microsoft Word and Excel is required
California Salary Hourly Range: $23.00 to $24.50
