Perform the following administrative functions on behalf of the Company to support the successful execution of sales operations in the field. In the process represent the Company in compliance with the Code of Conduct and Business Principles and the employment agreement.

What will you be doing?

  • Maintenance of surgeon/registrar customer database, instruments/implants consignment database and other related Sales and Marketing databases.

  • Support, coordinate and organize country-based marketing and sales events – both internal and external.

  • Provide day to day support to the sales and marketing teams that enables them to successfully complete sales activities and other sales operations. Such as, but not limited to, request, follow up and obtain samples, brochures and other promotional items including hardcopy, digital and online marketing material.

  • Organize and maintain promotional, template and sample library to ensure readiness and completeness.

  • Coordinate and monitor all internal and external sales training/promotional/ team meetings and promotional programs.

  • Support the sales team in preparing quotations and tender submissions with maintenance of trade price, contract price maintenance and records of all submissions. Devise diligent way of keeping records for easy reference.

  • Ensure that all related sales and marketing tasks and projects are coordinated in a timely manner. Project support for the sales and marketing teams when required.

  • Coordinate and track GL chop sign progress to ensure submission from sales team and billing team according to agreed procedures

  • Preparation and maintenance of capital equipment documents for T&C, PPM, and EST records in both soft and hardcopy.

  • Organize travel and accommodation and other business arrangements for the business units and back up for other areas of the business when required.

  • To always act in a responsible manner to avoid risk to self or to the company and follow the workplace safety and health and security policy.

  • Any other duties involved within the role and/or the tasks as assigned from time to time.

What will you need to be successful?

Success in the role will require a combination of technical knowledge, soft skills, and a deep understanding of both the business and service-providing sides of an organization. Successful candidates would need the following:

  • Diploma in Business Administration

  • Proven experience in handling events and stakeholder management

  • Ability to exercise a high level of tact, discretion, and judgment in

  • Dealing with sensitive/confidential matters.

  • Ability to maintain and handle a complex and ever-changing schedule, requiring attention to detail and ability to coordinate related administrative requirements.

  • Highly developed time management skills; including ability to work on various projects simultaneously, understand and set priorities, adapt, and respond to changing requirements, and deliver timely outcomes ahead of deadlines.

  • Commitment to work outside normal hours where necessary to meet international liaison requirements or to fulfil job responsibilities.

  • Ability to deliver a consistently high standard and quality of work, including attention to detail and accuracy in the drafting and review of correspondence and other documentation.

  • High level analytical and problem-solving skills with the ability to identify solutions in a timely manner, both independently and with consultation as appropriate.

  • Ability to exercise initiative including pro-active continuous improvements of administrative practices and services.

  • Past Sales and Marketing Coordination Experience Essential

  • Proven experience and a successful track record in a sales or marketing administrator role

  • Intermediate PC skills including Microsoft Office and database

  • Excellent organisational and communication skills (both written and verbal
