• Main responsibilities include providing customer service via phone, email, or in person, ensuring clients are well informed about the status and delivery deadlines of their service orders.
• Responsible for issuing invoices for sales, services, and transfers using the TOTVS system, verifying the accuracy of customer and order information, and ensuring correct billing.
• Handles the registration and verification of incoming invoices from suppliers and service providers, properly classifying cost accounts and cost centers.
• Processes payments to suppliers and service providers, including meal reimbursements for employees working overtime, as authorized by the branch or service manager.
• Maintains organized and up-to-date filing systems for both active and inactive documents, including records required for bids and company registrations.
• Registers transfer orders in the system for service execution, entering necessary product and commercial data.
• Prepares and monitors open service orders related to branch performance contracts and follows up on overdue payments from FBA customers.
• Receives and inspects materials, verifying invoice details such as quantity, product code, and dimensions, then forwards them for quality control or storage.
• Labels items after inspection, enters them into the system based on Quality Control records, and stores them according to warehouse location.
• Issues production orders and withdrawal forms, separates requested items according to production orders or evaluation, and updates inventory after delivery.
• Packages approved items using suitable materials based on their nature, destination, and transport method, prepares technical documentation, and updates the system to proceed with invoicing and shipment.
• Prints and sends invoices to customers, ensures receipt confirmation by email or signed delivery slip, and organizes confirmations for easy access.
• Requests and manages purchases of packaging and consumable items, entering purchase orders into the system and storing items appropriately.
• Supports production planning and control for machining, assembly, evaluation, and repair of mechanical seals, monitoring all stages in the system.
• Performs cycle and annual inventory counts as defined by the supply chain manager.

• Studying or graduated in Logistics, Administration or some related course

• Intermediate English
