Responsibilities of the Sales Admin Assistant:

  • Data Collection and Entry:
    • Gather performance data on the sales team from various platforms, including HubSpot, Google Sheets, Zoom, and scheduling software
    • Accurately input and maintain this data within Google Sheets
  • Tracking and Analysis:
    • Analyze data to identify patterns, trends, and insights
    • Communicate potential issues and concerns to both leadership and sales representatives
  • Accountability:
    • Proactively follow up with the sales team to ensure data is collected, complete, and accurate
    • Maintain an assertive approach in holding team members accountable for their performance and data reporting
  • Standard Operating Procedures (SOPs):
    • Create and update SOPs as needed
    • Monitor Slack channels to provide support to the sales team and ensure smooth operations

Qualifications:

  • Prior experience as a:
    • Sales Coordinator
    • Sales Administrative Assistant
    • Executive Assistant or Virtual Assistant to a Sales Director/Manager
  • Operational background with experience in systems and processes
  • Data-driven and problem-solving approach background
  • Google Sheets Proficiency:
    • Proficiency beyond basic skills
    • Ability to find column statistics
    • Proper formatting of sheets
    • Identifying and managing duplicates
    • Creating summaries from multiple different sheets
    • Using VLOOKUP for vertical data lookups and associated value retrieval
    • Pulling lists from HubSpot and inputting data into Sheets
