Overview of Role

We are seeking a highly skilled and experienced SaaS Tools Administrator to manage and optimize our suite of Software as a Service (SaaS) applications. The ideal candidate will possess in-depth knowledge of industry-standard user provisioning methods, expert knowledge of API integrations, and a proven track record of effectively administering a wide range of SaaS tools.

Responsibilities
  • Google Workspace (GWS): Demonstrable expertise in managing user accounts, security settings, compliance policies, and the full suite of GWS applications (Gmail, Drive, Calendar, Meet, Docs, Sheets, Slides, etc.). This includes troubleshooting user issues, optimizing configurations for collaboration and efficiency, and ensuring data integrity and accessibility within the Google ecosystem.
  • Rippling: Comprehensive understanding of Rippling for HR, IT, and Finance automation. This encompasses managing the workflows of employee onboarding and offboarding, device management, and IT provisioning. Ability to leverage Rippling's capabilities to streamline operations and enhance employee experience.
  • Salesforce: Advanced administrative skills in Salesforce CRM, including user and profile management, security settings, custom object and field creation, workflow rules, process builders, and report and dashboard development. Experience in maintaining data hygiene, optimizing sales processes, and integrating Salesforce with other business applications.
  • Atlassian Products : Strong proficiency in administering Jira Service Management, including managing and configuring workflows needed for the different ITSM Practices and Principles. Strong proficiency of managing Jira platform including issue types, screens, custom fields, permissions, creating and generating reports, integrating Jira with development tools, managing queues, SLAs, and customer portals. In-depth knowledge of Confluence for knowledge management, documentation, and team collaboration, involving setting up spaces, pages, and templates, managing permissions, and integrating Confluence with other Atlassian products like Jira. Ability to promote effective content creation and organization within the platform.
  • Microsoft 365: Extensive experience in administering Microsoft 365 services, including Azure Entra ID,, Exchange Online, SharePoint Online, Teams, and other Office 365 applications (Word, Excel, PowerPoint, Outlook). This covers user and license management, security and compliance policies, data governance, and troubleshooting common issues.
  • GitHub: Proficient in administering GitHub repositories, user access, team management, and security settings. Understanding of version control concepts and the ability to support development teams in leveraging GitHub for code collaboration and project access management.
  • Asana: Skilled in administering Asana for task and project management, including setting up projects, tasks, subtasks, dependencies, and deadlines. Experience in managing teams, assigning roles, and creating custom fields and workflows to optimize project execution and visibility.
  • Navan: Experience in administering Navan for corporate travel and expense management. This involves managing user profiles, processing expense reports, and integrating with financial systems to streamline business travel operations.
  • OutReach: Familiarity with administering OutReach for sales engagement automation. This includes managing sequences, templates, prospect lists, and integrations with CRM systems. Ability to support sales teams in leveraging OutReach for effective lead nurturing and outreach campaigns.
  • Lucid: Proficient in administering Lucidchart and Lucidspark for visual communication and collaboration. This involves managing user accounts, team folders, templates, and integrations with other productivity tools. Ability to support teams in creating diagrams, flowcharts, and visual representations for various business processes.
  • Slack: Expert-level administration of Slack workspaces, including user and channel management, app integrations, security and compliance settings, and best practices for team communication and collaboration. Ability to troubleshoot connectivity issues, manage notifications, and ensure effective use of the platform.
  • Manage access to various SaaS Tools using Principle of Least Privilege. This involves ensuring users have only the necessary permissions to perform their job, reducing the risk of security breaches.
  • Create API scripts to automate tasks and integrate different applications, ensuring they can communicate and share data efficiently.
  • Use a CLI (Command Line Interface) to manage and configure systems, providing a powerful and efficient way to control software and hardware.
  • Implement policies and tools to prevent sensitive data from leaving the organization's network using the DLP (Data Loss Prevention)
  • Implement and maintain user provisioning and de-provisioning processes following industry best practices.
  • Develop, manage, and troubleshoot API integrations between various SaaS platforms to ensure seamless data flow and automation.
  • Configure and optimize SaaS application settings to meet business requirements and enhance user experience.
  • Monitor SaaS application performance, availability, and security, identifying and resolving issues promptly.
  • Provide technical support and guidance to end-users on SaaS application functionalities.
  • Collaborate with internal teams (IT, Security, HR, Sales, Marketing) to understand their SaaS tool needs and implement solutions.
  • Develop and maintain documentation for SaaS application configurations, processes, and procedures.
  • Stay up-to-date with the latest SaaS trends, features, and security best practices.
  • Conduct regular audits of user access and permissions to ensure compliance and security.
Qualifications
  • Bachelor's degree in Computer Science, Information Technology, or a related field, or equivalent practical experience.
  • 5+ years of experience in SaaS administration and management.
  • In-depth knowledge of various SaaS tools and their administration, including those listed in the "Responsibilities" section.
  • Expert knowledge of user provisioning methods (e.g., SCIM, JIT provisioning, directory synchronization) and identity management solutions .
  • Expert knowledge of API integration principles, RESTful APIs, and webhook configurations.
  • Proficiency in scripting languages (e.g., Python, PowerShell) for automation and integration tasks.
  • Strong understanding of security best practices related to SaaS applications.
  • Excellent problem-solving, analytical, and communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
