About the Role
The RMA / Reverse Logistics Manager owns the end-to-end customer returns process, ensuring every return is processed quickly, accurately, and cost-effectively. This role is responsible for creating operational discipline, building a data-driven returns operation, and improving the customer experience through transparency and speed. The ideal candidate combines process engineering, team leadership, and analytical rigor to transform returns into a competitive advantage.
What You Will Do
- Own and continuously improve the end-to-end returns (RMA) process, ensuring fast, accurate handling from request intake through inspection, disposition, and refund/replacement.
- Lead and develop a high-performing RMA/inspection team, setting clear KPIs, conducting performance reviews, and driving a culture of accountability and continuous improvement.
- Oversee inventory recovery workflows, ensuring returned items are correctly inspected, graded, and reintegrated into stock within defined SLAs (e.g., 24 hours).
- Partner cross-functionally with Customer Experience, QC, Operations, and Finance to resolve escalations, reduce repeat issues, and improve customer satisfaction (CSAT/NPS).
- Identify root causes of returns and collaborate with Product, QC, and Manufacturing teams to implement corrective actions that reduce return rates.
- Manage WMS returns modules, return codes, and third-party logistics/warranty partners while ensuring SLA compliance and system accuracy.
- Build and maintain dashboards and reporting for key metrics including return rate, processing time, recovery %, cost per return, and defect trends.
- Ensure compliance with company policies, warranty standards, and regulatory requirements while supporting RTV negotiations, credits, and write-offs with vendors and Finance.
Who You Are
- 5–8 years of experience in reverse logistics, RMA, or warehouse operations, preferably within DTC or consumer goods environments.
- Proven success in process optimization, team leadership, and KPI-driven operational management.
- Hands-on experience working with WMS platforms and managing end-to-end returns workflows.
- Strong background in returns analytics, quality feedback loops, and supplier RTV (return-to-vendor) programs.
- Working knowledge of Lean / Six Sigma principles, warehouse safety standards, and compliance requirements.
- Excellent cross-functional communication skills, with the ability to connect warehouse, customer experience, operations, and finance teams.
- Highly disciplined, data-driven, and execution-focused leader who thrives in fast-paced, high-growth DTC environments and builds structure in operationally complex settings.
