This position will support the coordination of field personnel with equipment startups, warranty activities, and owner training. The Resource Coordinator will serve as an important connection between customers, sales engineers, project teams, field technicians, and internal departments. This role requires someone who can manage multiple priorities, communicate clearly, maintain accurate records, and help ensure work is scheduled, completed, and processed efficiently. Responsibilities
- Coordinate and schedule Hunton Trane field personnel for equipment startups, warranty work, inspections, and other assigned activities.
- Serve as a central point of communication between customers, technicians, sales engineers, project managers, manufacturers, and internal departments.
- Review work requests to confirm the equipment information, project scope, warranty status, site requirements, and requested completion date.
- Assign and dispatch the appropriate field resources based on availability, technical qualifications, location, and project requirements.
- Ensure technicians receive accurate job details, site contacts, equipment information, and required documentation before arriving at the jobsite.
- Create, maintain, and close warranty work orders, startup requests, and related records within the appropriate business systems.
- Monitor scheduled and open assignments, communicate status updates, and follow up on incomplete documentation or unresolved items.
- Review technician reports, startup documentation, warranty information, vendor records, and customer approvals for accuracy and completeness.
- Assist with purchase orders, material coordination, invoicing support, cost allocation, and warranty claim documentation.
- Help resolve scheduling conflicts, customer concerns, equipment-related questions, and other issues affecting completion of the work.
- Maintain organized records and provide accurate information for project tracking, billing, reporting, and customer follow-up.
- Support department goals by maintaining responsive communication and a high level of customer service.
Qualifications

- Proficiency with Microsoft Office, email, scheduling systems, and general business technology.
- Experience with WennSoft, Microsoft Dynamics, or another field-service management system is preferred.
- Knowledge of commercial HVAC equipment, field service, equipment startup, or warranty processes is a plus.
Preferred Background
- Associate degree in a business, technical, or related field required; bachelor’s degree preferred.
- Previous experience in resource coordination, dispatch, scheduling, project coordination, or field-service administration.
- Experience supporting a commercial HVAC, mechanical equipment, construction, or other technical field-service organization is preferred.
- Experience communicating with field technicians, customers, project managers, sales teams, or equipment manufacturers is highly desirable.
