The Role of a Reservations Manager
The Reservations Manager will play a leading role in generating revenue and managing the pre-arrival guest experience. Daily tasks will involve following sales strategies, listening and communicating effectively with Reservations Sales Agents and Group Rooms Coordinator and a wide range of callers, closing sales and monitoring the data input in the property management system. This position is also responsible for managing room blocks for large events, monitor billing arrangements, and handle room inventories.
Overview:
- Manage room inventory, reservations block assignment, availability controls and overbooking strategy in coordination with CRM.
- Execution of the Reservation Department’s policies and procedures and manage the daily operation, following Benchmark Standards.
- Maintain strong operational knowledge of all key technical systems: customer relationship, property management, chat, telephone, WRO interfaces, etc.
- Monitor group blocks pick-up in collaboration with the Events Department.
- Oversee rate and package code configuration following WRO Distribution Standards.
- Interview, train and schedule the team to optimize call conversion, minimize abandonment. Maintain strong destination knowledge and match labor standards. Set development plans and provide performance reviews.
- Supervise the profile management system (GOLDEN), it’s operational implementation and training adhering to Global Guest Recognition Guidelines set by WRO.
- Analyze call volume (ACD) reports including abandonment rate and take action as appropriate.
- Prepare needed commission payment backup to finance office
- Manage the reservations team incentive program and compile/publish monthly results by agent.
- Provide input for the weekly forecast
- Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and planning committee.
- Respond according to the crisis management plan to any resort emergency or safety situation.
- Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact.
- Prepare and review month end reports for trends, opportunities and financial discrepancies.
- With PRD and Commercial Director optimize marketing opportunities on ACD/phone switch, email confirmations, prearrival and chat functions.
- Coach and develop team members to next step or leadership roles within the department.
- Create a cross training plan with Front Desk that creates bench strength for both departments.
What you bring:
- A minimum of 4-5 years' experience in Front Office/ Reservations management position desired.
- Requires working knowledge of Four Seasons services, policies or operations and generally learn on-the-job.
- Requires knowledge of the ability to operate computer equipment.
- Ability to read and speak English in a clear manner.
- Understanding of high-end luxury Hotel product.
- Knowledge of OPERA PMS an asset)
- Ability to work with third-party agencies, partners, and vendors.
