Position Details:

As part of the Research, Administration, Operations and Project Management team, you will report to Director, Operations and Project Management. You will support the operational coordination of research and implementation efforts led by the Office of the Chief Scientist. They will support coordination across internal and external teams and contribute to managing complex calendars, coordinating high-impact meetings and project timelines, and ensuring seamless communication across all internal and external teams that interact with the Office of the Chief Scientist. This role requires scientific literacy to draft technical communications, professional judgment and the ability to support executive priorities and special projects with limited oversight. This is a non-exempt, full-time, hybrid position located in our NYC headquarters office. This position requires a minimum of four (4) days per week in the office, on a schedule determined by your supervisor The in-office requirement and schedule are subject to change based on the needs of the program and the organization.

You Will:

  • Plan and support internal and external meetings, retreats and conferences, including preparing agendas, technical talking points, taking minutes, coordinating logistics (travel, A/V, space reservations etc.), and tracking executive follow-up actions.

  • Act as a point of contact for collaborators, vendors, and institutional partners in a professional and timely manner.

  • Partner with Marketing and Communications to draft research press releases (e.g., Eureka Alerts) and other high-level external communications.

  • Collaborate with the Development team to create and maintain major giving materials and help track partnership deadlines.

  • Manage complex scheduling and strategic calendar coordination for the Chief Science Officer and associated research teams.

  • Support documentation and organization of SOPs, contact lists, templates, and shared resources for the Office of the Chief Scientist.

  • Support coordination of cross-functional projects by tracking deliverables, deadlines, and dependencies across the research portfolio.

  • Contribute to process improvements and operational execution to help support project completion in alignment with organizational policies and procedures.

  • Provide coordination support for special projects and operational initiatives.

  • Other duties as assigned.

You Have:

  • Bachelor's degree and 5+ years of relevant professional experience required, or Master's degree and 3+ years of relevant professional experience.

  • Degree in a scientific, research, healthcare, or related field.

Pay Range

The salary range for the position is posted. Factors such as candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations affect the salary offered within this range. In addition, this salary may be subject to a geographic adjustment (according to a specific city and state and depending on the role), if an authorization is granted to work outside of the location listed in this posting.
