Position Summary:
The Renewal Retreat Coordinator will create a welcoming environment and organize customized retreats to facilitate spiritual renewal and physical rest for alumni and ministry leaders.
Essential Functions:
- Provide fiscal stewardship for the Pastors Shepherds Fund as used for Renewal Retreats
- Work collaboratively with the Director of Strategic Events and Alumni Engagement, and Coordinator of Strategic Events and Alumni and Engagement, and the Business Office, for timely processing of all payment requests.
- Maintain detailed financial records of retreat funds utilized.
- Send retreat invoices to non-scholarship participants in a timely manner before their retreat.
- Provide operational management for Renewal Retreats
- Maintain schedule of incoming renewal retreats using the Renewal Retreat Google Calendar.
- Build and maintain relationships with ATS faculty and staff and with professionals in specialized areas (counseling, spa, recreation, personal trainer, etc.) for retreat referrals.
- Network with professional, clerical, and ministry organizations to promote retreat opportunities for their team members.
- Ensure that retreat supplies are available and in good condition (check prayer shawls after each use, examine books for wear, etc.), stock hospitality supplies (water and snacks), and maintain/update retreat folder materials.
- Provide administrative support for Strategic Events and Alumni Engagement leaders and institutional teams
- Prepare reports with an overview of project progress, retreatant data, and resources utilized. Provide information for the annual donor report.
- Attend Strategic Events and Alumni Engagement team meetings.
- Support Advancement initiatives through retreat structures and resources.
- Other duties as assigned
Education/Training/Experience:
- Administrative abilities: attention to details, problem-solving skills, ability to innovate, and maintain accurate records.
- Some experience in fiscal accounting: recordkeeping, analysis
- Mature character: gracious under stress, teachable, team player, respectful of people
- Self-motivated: takes initiative, willingness to serve
- Able to maintain confidentiality, especially with pastoral care and counseling referals
- Spiritually mature with a servant’s heart and evidence of the gift of hospitality
- Strong interpersonal communication skills
Skills Required
- Administrative abilities including attention to detail, accurate recordkeeping, and problem-solving
- Some experience in fiscal accounting, recordkeeping, and basic financial analysis
- Maintain detailed financial records and coordinate payment processing with business office
- Experience using Google Calendar to maintain and manage event schedules
- Ability to maintain confidentiality, particularly regarding pastoral care and counseling referrals
- Strong interpersonal communication and relationship-building skills
- Self-motivated, takes initiative, team player, and gracious under stress
- Spiritually mature with a servant's heart and demonstrated hospitality
