JOB DESCRIPTION

Summary

The Operations Supervisor is responsible for overseeing the accurate and timely processing of state and federal documents from external agencies. This role provides leadership and guidance to a team handling sensitive documents, ensuring compliance with all state requirements, proper case management in Salesforce, and operational efficiency within service level agreements (SLAs). The supervisor will also drive process improvements, support automation initiatives, and serve as a key liaison between internal teams, and outside agencies.

Responsibilities

Team Leadership & Operations Management

  • Supervise a team responsible for processing critical documents, ensuring accuracy, efficiency, and compliance.
  • Provide training, guidance, and performance coaching to ensure team members meet quality and productivity expectations.
  • Monitor workload distribution and adjust assignments to optimize efficiency and maintain SLAs.
  • Act as an escalation point for complex cases, resolving discrepancies and addressing compliance inquiries.

Processing state and federal documents

  • Oversee the review, verification, and processing of external documents, ensuring compliance with state requirements.
  • Manage query performance and modifications.
  • Ensure proper case management in Salesforce, maintaining detailed records of transactions and communications.

Procedural Compliance

  • Stay updated on relevant laws, regulations, and procedures related to document processing.
  • Ensure all processing activities adhere to legal standards, SOP updates, company policies, and industry best practices.
  • Address and resolve any compliance issues, providing recommendations for process improvements.

Documentation & Process Improvement

  • Maintain accurate and comprehensive records for audits, legal reviews, and compliance purposes.
  • Develop and implement Standard Operating Procedures (SOPs) to streamline workflows.
  • Lead automation initiatives and test new systems to improve operational efficiency.
  • Support change management efforts by training and guiding the team through new processes and technologies.

REQUIREMENTS:

  • 3+ years of experience in a detail oriented, government regulated setting, with direct experience handling government regulated detailed documents.
  • Prior supervisory experience preferred
  • Strong understanding of documentation processes, compliance requirements, and confidentiality protocols.
  • Comfortable running database queries and working within a CRM system (Salesforce experience preferred).
  • Excellent communication skills, with the ability to interact professionally with Federal and State agencies, legal teams, and internal stakeholders.
  • Proficiency in Microsoft Office applications (Word, Excel, Access, PowerPoint).
  • Highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.
  • Adaptability to change and a proactive approach to process improvement.

PAY RANGE

The targeted base salary for this position is $62,600 to $94,000 per year. The final compensation will be determined by a number of factors such as qualifications, expertise, and the candidate’s geographical location.
