Cary Medical Center is seeking a Release of Information Technician to join our Health Information Management team.    

The Release of Information (ROI) Technician is responsible for processing, tracking, and maintaining requests for protected health information (PHI) in accordance with federal and state privacy regulations, including HIPAA. This position ensures timely, accurate, and secure release of patient medical records while maintaining strict confidentiality standards and providing excellent customer service to patients, providers, insurance companies, attorneys, and external agencies.  Also provides assistance with other general HIM and clerical duties as needed. 

Essential Duties include but are not limited to:

  • Process incoming requests for medical records from patients, healthcare providers, insurance companies, legal representatives, and authorized third parties.
  • Scan and file living wills/advanced directives in a timely manner.
  • Verify patient identity and authorization forms before release of records.
  • Verify authorization forms for completeness, validity, and compliance with HIPAA, hospital policies, and applicable state regulations.
  • Retrieve records from electronic health record (EHR) systems and paper files when necessary.
  • Retrieve, prepare, scan, upload, and distribute patient medical records in paper and electronic formats.
  • Maintain accurate documentation and tracking of all disclosures of protected health information. 
  • Ensure timely fulfillment of requests in accordance with regulatory and organizational turnaround standards.
  • Communicate with patients, staff, providers, and outside agencies regarding release of information procedures and requirements.
  • Maintain confidentiality and security of all patient information at all times.
  • Identify and report potential privacy breaches or compliance concerns to leadership.
  • Respond to routine inquiries regarding medical records, authorizations, and disclosure policies. 
  • Prioritize urgent requests, including continuity of care and legal requests.
  • Participate in departmental quality improvement initiatives and audits.
  • Maintain knowledge of applicable federal and state laws relating to medical record confidentiality and release of information.
  • Support quality improvement and record retention procedures.
  • Perform other related duties as assigned.
  • Comply with local, state, and federal laws and regulations.

Requirements

  • High School Diploma or GED/equivalent business training preferred.
  • Associate degree in Health Information Management or related healthcare field preferred.
  • Previous experience in Health Information Management, medical records, healthcare office operations, or customer service preferred.
  • Experience working with electronic health record (HER) systems preferred.
  • RHIT,RHIA, or other HIM-related certification preferred but not required. 

Schedule:

  • M-TH 8:30a-2:00p / FR 9:30a-2:00p
  • In consideration of our patients’ and staff needs, you may be required to work evenings, weekends, and/or holidays.
