Summary/Objective

The Regulatory Proofreader supports label and specification accuracy across our product line. Responsibilities include reviewing supplier documentation and proofreading label copy, packaging artwork, and specifications to ensure accuracy, brand consistency, and regulatory compliance before materials go to print.

The ideal candidate has strong attention to detail, solid computer skills, and experience reviewing documents for accuracy — whether in food manufacturing, quality assurance, regulatory affairs, documentation, or a technical office environment.

Essential Functions

  • Proofread, label copy, packaging artwork, ingredient statements, nutrition information, claims, and allergen information for spelling, grammar, punctuation, and formatting accuracy.
  • Upload, organize, and maintain regulatory and product documentation in SKUsafe.
  • Compare supplier documentation, internal specifications, label copies, and system records for accuracy and consistency.
  • Maintain organized electronic and physical records using Microsoft Outlook, Excel, Word, and internal systems to support audits and compliance.
  • Check product names, weights, dimensions, codes, dates, and other numerical information against source documents for accuracy.
  • Review customer style guidelines to verify modifications have been applied. Clearly documenting any changes to be made.
  • Cross-check label specifications and proofs for consistent formatting, terminology, abbreviations, and brand standards, and clearly marking on proofs missing, conflicting, incomplete, or unclear information that could affect label accuracy or regulatory compliance.
  • Maintain and correct recipes, formulations, and ingredient/product specifications in SKUsafe to generate accurate nutrition facts panels, verify allergen and label claims, and keep documentation audit ready.

  • Strong attention to detail and ability to compare documents for accuracy.
  • Strong proofreading, grammar, spelling, punctuation, and formatting skills.
  • Proficiency with Microsoft Outlook, Excel, and Word.
  • Basic Math Skills, rounding, % calculations and averages.
  • Ability to manage multiple tasks, follow up on missing information, and prioritize work.
  • Comfortable working accurately with repetitive documentation and data-entry tasks.
  • Ability to prioritize proofreading assignments and meet deadlines.

 

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

While performing the duties of this job, the employee is working within an office environment. There will be minimal exposure to hazards or loud noises.

Physical Demands

The employee is regularly required to sit, stand, walk, talk, hear, type, and use standard office equipment.

Position Type/Expected Hours of Work

This is a full-time position. The full-time schedule is subject to change with or without notice. Mandatory or voluntary overtime may be required to meet business needs.

Education, Skills, and Experience

  • High school diploma or equivalent required; associate or bachelor’s degree in communications, English, food science, business, or a related field preferred.
  • Minimum of 1–2 years of experience proofreading, reviewing documentation, performing quality checks, or working in an office/document-control environment.
  • Demonstrated ability to proofread detailed documents for accuracy, consistency, grammar, punctuation, formatting, and numerical information.
  • Proficiency with Microsoft Outlook, Excel, and Word.
  • Preferred: experience proofreading food labels, packaging artwork, specifications, regulatory documents, or customer-facing product information.
