Role Summary

The Registration Specialist supports a seamless perioperative experience by coordinating patient registration, and front desk operations. This role serves as a key liaison between patients, physicians, and clinical teams, ensuring accurate scheduling, registration, communication, and administrative support while maintaining a patient-centered, professional environment. Will cross train with surgical scheduling.

Tuesday-Friday, Full-time position (32 hours/week). Hours between 5:45am- 2:15pm.

Expected start date late August early September

What You’ll Do

• Register patients accurately by verifying demographics, insurance coverage, benefits, prior authorizations, and required documentation to ensure scheduling and billing accuracy.

• Review scheduling, referral, and insurance information; verify eligibility through Clariti, payer portals, and other verification resources; and determine authorization requirements for scheduled services.

• Conduct authorization research and validation through payer and utilization management platforms, including eviCore, TurningPoint, Availity, PEAR, and other applicable systems.

• Communicate with referring offices, patients, physicians, and staff to obtain missing information, secure required authorizations, resolve discrepancies, and coordinate patient care.

• Review and validate authorization approvals, effective and expiration dates, and authorized CPT and ICD-10 codes to ensure compliance with payer requirements.

• Document insurance verification, authorization status, and patient information in scheduling, registration, and electronic medical record systems.

• Collect copayments, maintain patient records, and ensure confidentiality in accordance with organizational policies and regulatory requirements.

• Greet patients and visitors, answer and direct telephone calls, respond to inquiries, and coordinate front desk operations to support efficient workflow and customer service.

• Perform clerical and administrative duties, including record maintenance, supply management, quality improvement, safety initiatives, and upkeep of reception and patient service areas.

• Maintain current knowledge of insurance verification, authorization processes, and payer-specific requirements while performing other duties as assigned.

  • Ability to manage competing priorities in a fast-paced healthcare environment

  • Proficiency with Microsoft Windows–based systems and scheduling/registration platforms

  • Prolonged standing, walking, sitting, and frequent use of hands and arms

  • Ability to bend, stoop, kneel, crouch, or balance as needed
