Summary of Responsibilities - Coordination of insurance referrals for patients’ upcoming visits and procedures.
Job Classification: Category III – No employee has occupational exposure to blood borne pathogens.
Reports to: Office Manager
Responsibilities - The duties and responsibilities of the Referral Coordinator include, but are not limited to:
- Data entering and scanning patient referral information.
- Contact primary care physicians, patients and in office departments and providers to obtain information necessary to schedule procedures and office visits.
- Enter all demographic information provided into EMR system Allscripts. Create new patient charts.
- Distinguish the type of services that are needed – ASAP verses screening verses office visit verse open access.
- Mailing/faxing responses/letters to referring offices.
- Document all information completely and thoroughly in patient’s chart
- Text message appointment options to patients utilizing Artera texting app.
- Document patient status post appointment to a no-show status and notify appropriate parties involved.
- Discharge patient via certified letter from practice after following proper protocol and steps involved with notifying patient, PCP and usual provider in office.
- Be of service for hospital booking sheet documentation upon patient being scheduled at hospital through OA process.
- Be of service for printing prep instructions for procedures scheduled for OA department and address envelopes as needed.
- Complete tasks timely, completely, and correctly.
- Regular interaction with referring provider offices
- Works cooperatively with all other employees in and out of the office.
- Other duties as assigned.

Requirements
- High School Diploma or GED equivalent
- Prefer Medical Referral Experience and or Allscripts EMR system
- Organization and good communication
- Knowledge of medical terminology a plus
- Willingness to travel if needed
