  • Ensure candidate records and pipeline information are organised, complete and reliable.
2. Recruitment Coordination and Follow-Up
  • Coordinate candidate communication, follow-ups and next steps throughout the recruitment process.
  • Liaise with facilities and other relevant stakeholders to obtain updates, confirm information and resolve outstanding items.
  • Ensure candidates and stakeholders receive timely, professional communication.

  • Support interview coordination and help ensure candidates are ready for the next stage.
3. Reference Checks and Candidate Verification
  • Conduct and coordinate candidate reference checks in line with the recruitment process.
  • Follow up with referees and relevant contacts to obtain outstanding feedback.
  • Record reference outcomes and supporting information accurately in the appropriate systems.
  • Escalate missing information, inconsistencies or concerns to the relevant team member.
4. Recruitment Systems and Administration
  • Use Salesforce and other recruitment systems to manage candidate information, track progress and maintain accurate records.
  • Ensure recruitment data is consistently updated and reflects the current status of each candidate.
  • Support the team with recruitment administration, reporting and pipeline maintenance.
  • Learn new systems, processes and workflows quickly as the business grows.
5. Targets, Performance and Team Collaboration
  • Work towards agreed recruitment activity, sourcing, follow-up and interview targets.
  • Monitor individual progress and outstanding tasks to ensure deadlines and expectations are met.
  • Participate in regular team meetings, check-ins and performance discussions.
  • Communicate progress, challenges and potential bottlenecks proactively.
  • Collaborate with recruiters and other team members to achieve shared recruitment goals.
  • Take ownership of assigned responsibilities and remain accountable for completing work to a high standard.
Minimum Requirements

  • Strong computer literacy and confidence working across multiple digital platforms.
  • Excellent written and verbal communication skills.

  • Comfortable working towards structured activity, sourcing and interview targets.
  • Able to work independently while collaborating effectively with a wider team.
  • Reliable, responsive and accountable, with a strong sense of ownership.

  • Resilient and able to perform effectively in a fast-paced, high-volume environment.
Preferred Personality Traits
  • Friendly, personable and confident when communicating with candidates and stakeholders.
  • Professional, well-spoken and well-presented.
  • Energetic, proactive and solutions-oriented.
  • Highly organised, consistent and detail-focused.
  • Persistent with follow-ups without being pushy or unprofessional.
  • Comfortable communicating with American clients and stakeholders in a direct, fast-paced and results-focused business environment.
