As the Recruiting Operations Specialist, you’ll play a critical role in keeping Asana’s talent acquisition processes running smoothly and scaling thoughtfully! In your role, you’ll help shape the candidate and hiring team experience by coordinating for our Executive Leadership Recruiting team. You’ll partner closely with Talent Acquisition, People Operations, and cross-functional stakeholders to streamline and optimize our recruiting programs. Whether you’re designing efficient workflows or spotting trends in candidate data, you’ll help build a hiring experience that reflects Asana’s values and supports our growth.
What you’ll achieve
- Own scheduling logistics for high-touch, high-volume executive roles and support complex, multi-stage interview loops
- Serve as the first line of support for executive leadership recruiters and hiring teams
- Own the international offer process and workflow
- Track and reconcile changes in candidate status, offers, and hires across systems to ensure data integrity
- Partner with Finance, People, and Talent Acquisition to track and manage approved headcount against hiring plans
- Coordinate with Compensation, Finance and People Operations to ensure accurate reconciliation of filled, open, and upcoming headcount
- Facilitate hiring manager enablement sessions and ongoing recruiter training to drive process consistency
- Maintain internal documentation and communication related to hiring plan changes and requisition management
About you
- 2+ years of experience coordinating for executive leadership or senior-level recruiting teams
- Skilled at managing and optimizing recruiting content libraries—job descriptions, offer templates, standard operating procedures, and more
- Naturally process-minded—you love making things more efficient, repeatable, and easy to understand
- Take ownership of documentation and communication, especially when plans or priorities shift
- Comfortable navigating ambiguity and adapting in a fast-changing environment
- Proactive and solutions-oriented—able to spot gaps, anticipate needs, and surface insights
- Proficient in Asana, Workday, and Greenhouse

Our comprehensive compensation package plays a big part in how we recognize you for the impact you have on our path to achieving our mission. We believe that compensation should be reflective of the value you create relative to the market value of your role. To ensure pay is fair and not impacted by biases, we're committed to looking at market value which is why we check ourselves and conduct a yearly pay equity audit.
For this role, the estimated base salary range is between $110,000 - $120,000. The actual base salary will vary based on various factors, including market and individual qualifications objectively assessed during the interview process. The listed range above is a guideline, and the base salary range for this role may be modified.
In addition to base salary, your compensation package may include additional components such as equity, sales incentive pay (for most sales roles), and benefits.
