The Recruiting Operations Coordinator is a key member of our legal recruiting team, providing essential support across the attorney hiring lifecycle. This role has a primary focus on the On-Campus Interviewing (OCI) program and summer associate recruiting, while also supporting the firm's conflicts check process and contributing to the broader operational needs of the recruiting function. The ideal candidate is highly organized, proactive, and thrives in a fast-paced law firm environment where attention to detail and discretion are paramount.
Responsibilities
On-Campus Interviewing (OCI) & Summer Associate Program
This role serves as a core operational resource for the firm's OCI program and summer associate recruiting efforts, which represent the primary pipeline for junior attorney talent.
- Manage end-to-end logistics for the OCI recruiting season, including registration for resume collects, callback interviews, and on-campus events at law schools.
- Coordinate summer associate interview scheduling, ensuring a seamless experience for candidates and interviewing attorneys.
- Prepare, distribute, and track offer letters for summer associate positions, managing revisions and follow-ups through to acceptance.
- Maintain accurate records of OCI candidate statuses, offer outcomes, and pipeline data throughout the recruiting cycle.
- Serve as a primary point of contact for summer associate candidates during the offer and pre-arrival process.
- Partner with recruiting leadership to support summer associate program planning and execution as needed.
Conflicts Check Coordination
The Coordinator plays an important role in supporting the firm's pre-hire conflicts review process, ensuring candidates are cleared in a timely and accurate manner.
- Initiate and track conflicts checks for candidates across practice areas and offices.
- Coordinate with relevant internal stakeholders — including General Counsel and HR teams — to resolve conflicts findings and ensure timely clearance.
- Serve as a point of contact for candidates navigating the post-offer conflicts process, providing timely updates as appropriate.
- Maintain accurate tracking of conflicts statuses and flag outstanding items to recruiting leadership.
General Recruiting Operations
In addition to the above, the Coordinator provides operational support across the broader recruiting function.
- Support offer administration, interview scheduling, and requisition management for lateral and other attorney hiring as needed.
- Assist with onboarding handoff, ensuring candidates are transitioned smoothly to HR following acceptance.
- Distribute regular reporting to onboarding and HR teams to support incoming hire preparation.
- Contribute to ATS data integrity and job posting management in Greenhouse.
- Assist with ad hoc recruiting projects and initiatives as directed.
Qualification
- Bachelor's degree required.
- 1–3 years of experience in a recruiting, legal, or professional services environment; prior law firm experience strongly preferred.
- Familiarity with OCI recruiting processes and law school hiring cycles a significant plus.
- Experience with Applicant Tracking Systems required; Greenhouse experience preferred.
- Exceptional organizational skills and ability to manage multiple workstreams simultaneously under deadline pressure.
- High degree of accuracy and attention to detail, particularly when handling offer documentation and compliance tracking.
- Strong interpersonal and communication skills; ability to work effectively with attorneys, candidates, and administrative staff.
- Sound judgment and discretion when handling confidential candidate and firm information.
