Job Description Summary

The Recruiting Coordinator will work closely with Recruiters to provide operational/administrative support for Transamerica's hiring process and candidate experience. This includes interview scheduling coordination, candidate travel logistics, candidate document preparation/filing, event coordination, and job advertising.

Demands outstanding attention to detail, organization, and the ability to multi-task.

This position requires an individual who understands the necessity for confidentiality and professionalism at all times.

Job Description

Responsibilities

  • Coordinate complex phone and in-person interview schedules, working closely with recruiters, hiring managers, admins, and internal and external candidates.
  • Schedule phone screens, video teleconferences, on-site meetings, travel, and coordinate recruiting events.
  • Coordinating interview schedules between candidates, recruiters, business units, agencies
  • Initiate and maintain communication with candidates during the scheduling, interviewing, application, and hiring process
  • Make travel arrangements including airfare, hotel and transportation; often within tight scheduling deadlines. Responsible for reimbursement of candidate travel expenses
  • Identify opportunities to improve the candidate experience and scheduling efficiency.
  • Ensure candidates have received and completed pre-employment documents.
  • Input, track, and run reports. Provide and update various confidential reports on a daily, weekly or monthly basis. Reports may include headcount, recruiting activity, expense reports, etc.
  • May be responsible for sourcing and recruitment of entry-level or administrative positions.
  • Reserving conference rooms, ordering food, coordinating video conferences
  • Responsible for data management and integrity throughout the scheduling and assessment process including input of relevant data into Applicant Tracking System (Workday).
  • Develops an understanding of their recruitment area with regards to role profiles, candidates' and hiring manager's needs
  • Assist with writing job descriptions, interview guides and employment ads.
  • Prepare offer letters and new hire packets for internal and external candidates.
  • Act as a host to candidates when on-site (i.e., ushering candidates during interviews, providing lunch).
  • Work with coordinators in remote offices to ensure similar candidate care and manage logistics (i.e. conference rooms, lunch, etc.)
  • Manage the employment application process; ensuring a completed application is received from each candidate prior to on-site interviews and uploaded into the applicant tracking system (ATS).

Qualifications

  • High school or equivalent combination of education and experience GED. 1 to 2 years HR experience and some knowledge of applicable laws and policies.
  • Proven experience supporting a team of managers in a fast-paced environment required
  • Excellent organizational skills and follow-through internally and externally in order to provide a positive candidate experience
  • Requires strong proficiency in Microsoft Office suite including, Word, PowerPoint, Excel, and Outlook

Preferred Qualifications

  • Knowledge and experience of applicant tracking or recruiting information databases/systems (Taleo)
  • Adept at working with teams in different office locations, and at promoting teamwork.
  • Excellent attention to detail
  • Ability to maintain a high level of confidentiality.
  • Knowledge of Service-Now and Workday

Working Conditions

  • Minimal travel required
  • Overtime may be required, depending on business needs
  • Confident in quickly adapting to changing work environments and priorities
  • Comfortable working to tight deadlines.

Compensation

**Please note that the compensation information that follows is a good faith estimate for this position only and is provided pursuant to applicable pay transparency and compensation posting laws. It is estimated based on what a successful candidate might be paid in certain Company locations.**

The Salary for this position generally ranges between $19.00 - $26.00 per hour. This range is an estimate, based on potential qualifications and operational needs. Salary may vary above and below the stated amounts, as permitted by applicable law.

Additionally, this position is typically eligible for an Annual Bonus based on the Company Bonus Plan/Individual Performance and is at the Company's discretion.
