The Recruiting and Onboarding Specialist is responsible for performing a wide variety of tasks in support of hiring and onboarding new employees to Hilltop Holdings, and its three subsidiaries: HilltopSecurities, PlainsCapital Bank, and PrimeLending. The role will work with internal team members across departments, Hiring Managers, and Leadership to ensure an effective and seamless onboarding experience for all new hires. Additional responsibilities include assisting the recruiting team with reviewing candidate applications, sourcing and screening candidates, and scheduling interviews.
Responsibilities- Facilitate the onboarding of new employees by ensuring all required tasks are completed both internally and externally in preparation for their start date.
- Measure and monitor new hire activity as milestones are achieved in the onboarding process
- Respond to new hires and managers to explain and interpret processes and procedures; addresses concerns and provides leadership with status updates as needed
- Communicate with other departments, applicants, employees, and leadership to provide information and assistance regarding recruitment, backgrounds checks, transfers, and employment
- Manage the day-to-day activities to support the department including prioritization of work assignments
- Ensure all appropriate new hire documentation is captured and uploaded in Oracle or BIG
- Manage the candidate pre-screening and background process by identifying and escalating issues/concerns based on the Background Adjudication guidelines.
- Document and review the background results from BIG. Request supporting documentation from candidate when necessary and provide detailed information and facts to the background committee when needed.
- Run standard and ad hoc reports utilizing a variety of reporting tools and sources to report on metrics relevant to recruiting and onboarding statistics
- Acts as change agent to help develop and communicate new or revitalized concepts as it relates to the organization’s onboarding strategies
- Serve as liaison and point of contact for HR, IT, etc. to ensure that system access rights are established, and any resulting technical difficulties are resolved in a timely manner
- Promote proactive approaches to solve business needs/problems, while also enhancing the understanding and acceptance of the team’s capabilities
- Assist with the recruitment process, including sourcing candidates, reviewing applications, and scheduling interviews
- Maintain contact with candidates throughout the hiring process, providing updates and answering questions
- Maintain a professional demeanor and adheres to standards consistent with company policies and procedures
- Other duties as assigned
- High School Diploma required, Bachelor’s degree or equivalent work experience preferred
- Prior recruiting and onboarding experience preferred
- Working knowledge of Applicant tracking systems (Oracle experience a plus)
- E-Verify experience
- Prior experience working with a Background screening provider (BIG experience a plus)
- Must have the ability to make recommendations to effectively resolve problems or issues, by using judgment that is consistent with standards, practices, policies, procedures, regulation or law
- Excellent communication skills, both verbal and written
- Demonstrated ability to interact effectively with various levels within the organization
- Ability to demonstrate detail orientation and analytical skills
- Ability to meet deadlines, organize and prioritize work
- Excellent PC skills, including Microsoft Office Suite
- Must have excellent judgement and decision making skills.
